The Reality
Right now, our CEO is the bottleneck.
Client calls at random times.
Spreadsheets that should exist but don't.
A calendar that's more chaos than strategy.
Great work getting done, but held together by heroic effort instead of systems.
A long to-do-list each day that never gets fully cleared.
We need someone who sees this and thinks: "I can fix that."
This isn't about fetching coffee or scheduling meetings (though you'll do that too).
It's about building the operating system that lets a 7-figure agency run without constant firefighting.
You'll be across a varied range of channels from Facebook ads, to recruitment, to giving access to systems, to making update decks, to "you name it."
Start part-time.
Prove you can build systems, not just follow them.
Grow into the role that keeps everything running.
What You'll Actually Do
Week 1: You'll manage the CEO's calendar, coordinate client calls, admin, small-medium tasks (often 30+ per day in varied categories) and realise there's no system for tracking what was promised to whom.
Month 1: You'll build that system, the client communication tracker, and the project pipeline spreadsheet.
Because nobody else will, and things break without them.
Month 6: You'll run his side of the business.
The CEO can disappear for a week and nothing falls apart.
Client onboarding is smooth.
Updates happen.
Things don't fall through the cracks.
Team knows what's happening.
You own it.
Day-to-day you'll:
Manage CEO calendar, email, varied tasks, and priorities (protect focus time)
Build operational systems from scratch (tracking, workflows, templates)
Coordinate across our 10-person team (creative, accounts, operations)
Handle sales and client coordination (scheduling, updates, onboarding)
Manage travel, personal logistics, and executive support
Anticipate problems before they become fires
