Organisation Background
Voices of Birralee (VoB) is a not‑for‑profit choral organisation based in Brisbane, Australia, offering multiple choirs across age‑ranges, delivering strong artistic and educational outcomes. The General Manager will join an organisation with a strong reputation, vibrant membership, and growing programmatic ambition.
Position Purpose
The General/Operations Manager (GOM) is responsible for the day‑to‑day operational, administrative, financial and governance functions of the organisation, ensuring that all choir activities and events are supported by efficient systems, sound contracts, compliant governance, and effective stakeholder relationships. The GOM will work collaboratively with the Artistic Director, Executive Committee, admin team, artistic staff, volunteers and external hirers to enable Voices of Birralee to deliver its mission and strategic objectives.
Key Accountabilities
Leadership
Collaborate closely with the Artistic Director and Executive Committee to deliver the organisation’s artistic vision and implement the Strategic Plan.
Manage relationships with statutory authorities (e.g. ATO, ACNC, Department of Child Safety), including ensuring compliance, preparing funding applications, business plans, and annual reports.
Manage the admin and events team members and volunteers ensuring respectful, explicit communication to enable goals to be met.
Event and Activity Management
Develop and maintain the annual event calendar (rehearsals, concerts, tours, workshops, hirer bookings) in consultation with the Artistic Director.
Secure venues for rehearsals, projects, events, and performances across all choirs.
For each event, prepare a detailed “to‑do” list (pre‑event tasks, event budgets, event day logistics, post‑event wrap‑up) and monitor progress.
Oversee front of house and venue logistics, ticketing/hirer arrangements, marketing/communications (in partnership with VoB marketing staff/volunteers).
Post‑event review: compile event costs and revenues, ensure all invoices paid/received, collate feedback, document and share lessons‑learnt with stakeholders (internal + external).
Organisational Management
Oversee the organisation’s daily operations to ensure efficient and effective performance, working collaboratively with the operations team to deliver results.
Ensure compliance with all regulatory, legal, duty of care, and WHS obligations, liaising with legal advisers, insurance brokers, accountants and auditors as required.
Supervise the preparation and execution of contracts for staff and guest artists.
Oversee the negotiation of fees and contracts with partners, sponsors, and suppliers for facilities, services, and resources.
Manage the lease agreement with the local council for VoB rehearsal/office space – ensure compliance with terms, schedule rental payments, monitor use, liaise with council officers.
Manage negotiations with external hirers of the VoB venue – framing hire agreements, setting rates, scheduling hires, preparing invoices, ensuring venue conditions, liaising with hirers through SpacetoCo.
Liase with other tenants of the Purtell Park community to continue the positive relationships between all stake holders.
Governance
Provide administrative and governance support to the Executive Committee as required.
Oversee risk management, governance, and compliance across all organisational activities.
Finance
Ensure the smooth and transparent financial management of the organisation.
Work collaboratively with the Treasurer and Artistic Director to develop the annual operations budget; track actuals against budget and flag variances.
Oversee the financial management of assigned projects and events, identifying creative and practical solutions to any budgetary constraints.
Human Resources
In partnership with the Artistic Director, manage and support the administrative team to ensure the effective operation of the organisation.
Oversee staff induction and performance management processes, to ensure staff and structure align with the organisation’s strategic goals.
Maintain and keep up-to-date policies and procedures to ensure best practice and compliance.
Development
Work with the Executive Committee and volunteers to build and maintain relationships with members, sponsors and donors, achieving development revenue targets.
Oversee all fundraising events and initiatives to ensure successful outcomes.
Oversee the redevelopment and maintenance of the organisation’s website to ensure ongoing relevance and effectiveness.
Tour Management
Research and arrange travel logistics, including flights, accommodation, rehearsal, and performance venues for tours.
Collaborate with the artistic team to plan, coordinate, and execute all tour logistics—both pre‑departure and on‑tour when required.
