Receptionist - Corroboree Group

Position Overview
The Receptionist is a front-facing role central to the smooth operation of Corroboree Group's office environment. As the primary point of contact for all visitors and enquiries, both in person and by phone, the role is responsible for delivering a professional, welcoming, and consistent front-of-house experience.
Using sound judgement and initiative, the Receptionist coordinates daily office activities, supports staff and visitors, and ensures the workplace remains organised, presentable, and efficient. This role is integral to shaping first impressions and contributing to a positive and professional workplace culture.
Key Responsibilities and Accountabilities Front of House and Client Experience
* Serve as the first point of contact for all visitors, clients, and enquiries, delivering a professional, welcoming, and culturally respectful experience
* Manage reception operations, including greeting visitors, handling arrivals, and maintaining a well-presented and organised front-of-house environment
* Ensure a consistently positive first impression of the organisation through high standards of presentation and service
* Operate independently from the front reception area, using initiative and sound judgement to manage enquiries and front-of-house activities
Communication and Enquiries Management
* Exercise discretion and maintain confidentiality when handling enquiries and sharing information
* Manage incoming phone calls, emails, and general enquiries, ensuring accurate information is provided and matters are directed appropriately
* Facilitate effective communication by relaying messages and coordinating information flow between staff and departments
* Maintain shared communication channels, including inboxes and visitor logs
Scheduling and Office Coordination
* Coordinate appointments, meetings, and room bookings
* Prepare meeting spaces and provide support for meetings, including documentation and minute taking where required
* Support the smooth day-to-day coordination of office activities through effective planning and organisation
Administrative Support
* Provide general administrative support to managers and team members
* Maintain accurate records, data entry, and filing systems in line with organisational procedures
* Contribute to the continuous improvement of administrative and front-of-house processes
* Manage incoming and outgoing mail, deliveries, and courier services
* Maintain office supplies, stationery, and consumables
* Ensure shared office areas are clean, organised, and well-maintained
* Monitor and report maintenance or facility issues as required
Compliance and Support
* Ensure all visitors sign in and follow site safety and security procedures
* Support compliance with Corroboree Group's policies and procedures
* Report maintenance, safety, and security issues to the relevant supervisor or manager
* Support the broader organisation with events, community engagement, and general wellbeing initiatives throughout the year
Skills and Experience
* Strong communication and interpersonal skills
* Professional presentation and confident phone manner
* Excellent organisational and multitasking abilities
* Attention to detail and a proactive approach to maintaining business office spaces
* Ability to work effectively both independently and as part of a team
* Proficient computer literacy and excellent skills using Microsoft Office applications
Desirable Qualifications and Experience
* Previous experience in a client-focussed or administrative role
* Experience supporting and contributing to projects and initiatives
* Understanding of, or willingness to learn about, Aboriginal and Torres Strait Islander cultures and communities
* Current Working with Vulnerable People (WWVP) or equivalent check (or ability to obtain)
