This is a 6-month contract with potential to extend up to 12 months or longer. The successful candidate will support senior legal stakeholders and collaborate across departments to ensure smooth execution of legal processes and documentation.
Key Responsibilities
Property & Conveyancing Support
- Manage inboxes and coordinate contract preparation for off-the-plan sales
- Liaise with internal teams and external parties on contract amendments, negotiations, and settlements
- Maintain tracking spreadsheets for exchanges, settlements, and rescissions
- Conduct due diligence, order property searches, and transact using PEXA
- Prepare and lodge caveats, mortgages, and other legal instruments
Finance & Presale Coordination
- Collaborate with external law firms on presale certifications and compliance
- Assist with condition precedent documentation and verification of identity processes
Acquisition Transactions
- Review and summarize legal documents including exclusivity deeds, options, and contracts
- Support legal negotiations and due diligence activities
- Coordinate exchanges and manage post-exchange obligations including key dates and payments
- Liaise on duty calculations and facilitate settlements
Document Management & Execution
- Prepare legal documentation using precedents
- Organize and maintain digital and physical filing systems
- Coordinate document execution including DocuSign workflows
Research & Reporting
- Conduct legal research on legislative changes and property-related topics
- Prepare internal reports, briefs, and summaries
General Administration
- Support legal and finance teams with administrative tasks
- Liaise with accounts on payment obligations related to transactions
What You’ll Bring
- 10–15+ years of experience as a Paralegal or Senior Licensed Conveyancer
- Strong background in conveyancing and off-the-plan property transactions
- Excellent organizational and time management skills
- Explicit and professional communication style
- Proficiency in Microsoft Office and PEXA; experience with ClickUp and TriSearch is a plus
- Conveyancing license desirable
