Type of employment: Permanent, Full Time – 9am-5pm

Location : Bentley WA, Office-based (with 1 day WFH flexibility)

Pay : 34.78 p.h. + super + salary packaging

About the Role

The Administration Officer supports the quality and compliance of Registered Training Organisation (RTO) operations by delivering a range of centralised administrative functions. This is a back-office role working closely with training coordinators, trainers, and managers to ensure smooth delivery and compliance of accredited training. With a strong focus on data integrity, reporting and funding submissions, you’ll play a key role in ensuring compliant and efficient regional training delivery. You’ll be part of a close-knit, collaborative team that spans from VIC to WA. The team prides itself on supporting one another, sharing tasks, and encouraging problem-solving and continuous improvement.

Key Responsibilities

- Enter and review accredited course data, ensuring accuracy of student records, completions, and certification documentation
- Manage enrolment-related processes, including quality assurance checks, trainer-to-delivery mapping, withdrawals, and invoicing
- Prepare and submit accurate data and funding reports, identifying and correcting discrepancies
- Set up courses in the learning management system and support trainers/managers with administrative requirements
- Provide compliance support during audits and regular reporting cycles

What We’re Looking For

We’re seeking someone who is:

- Digitally savvy, with excellent computer skills and the ability to work confidently across multiple platforms, databases, and systems
- Skilled in administration and high-volume data entry with robust attention to detail
- Organised, able to prioritise and manage deadlines in a fast-paced environment
- Solution-focused, proactive, and motivated to contribute to continuous improvement
- Ideally experienced with VETtrak (or a similar student management system)
