Office Assistant / Personal Assistant (PA)
Location
Sanctuary Cove, QLDHybrid: Work from home and in-officePart-time (3-5 days/week) transitioning to full-time permanent after probation period.
About the role
We're seeking an organised, proactive Office Assistant/PA to keep our fast-moving office running smoothly.
You'll be the friendly first point of contact for clients and partners, support Management with PA duties, and handle day-to-day admin, customer service, billing, and logistics.
This is a true all-rounder role where you'll partner closely with Management to support business operations and ensure an exceptional customer experience.
As a 100% online eCommerce business, candidates with substantial eCommerce experience will be highly valued.

Work arrangement
Hybrid work model: split time between working from home and our Sanctuary Cove office.
Standard hours: 9:00 am – 5:00 pm.
Home office readiness: reliable internet and a quiet workspace required.
Key responsibilities
Manage daily administrative tasks: inbox management, calendar coordination, document preparation, and accurate record-keeping.
Manage (limited) inbound and outbound calls; handle (limited) phone and email enquiries promptly and professionally.
Provide outstanding customer service and maintain strong relationships with clients, suppliers and corporate clients.
Oversee billing and invoicing; initiate and manage client payments; complete accounts functions in Xero with high accuracy.
Handle packages, courier deliveries, and general office logistics.
Coordinate freight and dispatch: bookings, quotes, tracking (including international shipments).
Support sales operations by responding to daily phone and email enquiries and preparing quotes as required.
Assist with stock control and inventory tasks using leading software systems.
Maintain organised digital files and office documentation; ensure efficient, compliant office operations.
Provide PA support to Management: prepare correspondence, make calls/emails on behalf of Management, and assist with meeting prep and follow-ups.
Skills and experience
Minimum 3 years' experience in office administration, customer service, or a PA role.
Strong computer skills: Mac, Microsoft Office (Word, Excel, Outlook); fast and accurate typing with excellent spelling and grammar.
High proficiency in Xero; confident managing invoicing, payments, and account reconciliations.
Professional phone manner; clear written and verbal communication.
Excellent attention to detail, time management, and ability to juggle competing priorities.
Team player with a proactive, can-do attitude and a passion for delivering great customer experiences.
Comfortable working independently in a remote setting while staying responsive and collaborative online.
