The Opportunity:

At BespokeHR, administration isn't back-office support. It's operational excellence in action.

We're looking for an experienced Administration & Event Coordinator who operates with autonomy, anticipates needs and consistently delivers high standards within a fast-paced professional services environment.

You will work closely with the Managing Director and wider team to ensure:

* Our office is polished, organised and client ready.
* Training programs and events run flawlessly.
* Recruitment and HR projects are professionally supported.
* Team culture initiatives are thoughtful and energising.
* Marketing and podcast logistics run smoothly behind the scenes.

You will be trusted. You will be relied upon. You will be expected to think ahead.

You will also contribute approximately to 10 billable hours per week in client centred project deliverables.

This is an excellent role that will keep you busy, keep you thinking, all within a truly fantastic and supportive working environment.

Key Responsibilities:

Office & Facilities

* Maintain a professional, welcoming office environment.
* Coordinate meetings, supplies, travel and vendor relationships.
* Liaise with building management and external providers.
* Support reception and ensure meeting rooms are always client ready.

Training & Events

* Manage public training events through booking systems.
* Coordinate venues, catering, materials and technology.
* Support facilitators during sessions.
* Manage participant communications and post-event follow-up.
* Coordinate client and internal events.

Recruitment, HR & Culture

* Prepare interview packs and candidate documentation.
* Support onboarding, offboarding and HR projects.
* Coordinate team celebrations and recognition initiatives.

Marketing Support

* Coordinate podcast guest logistics.
* Assist with CRM updates and Canva materials.

About You:

You bring:

* Proven experience (3+ years preferred) in a similar Office Administration, Coordination or Event role, ideally within a professional services environment.
* Strong organisational and time management skills.
* Excellent written and verbal communication.
* High attention to detail.
* Confidence with Microsoft Office and CRM systems (Zoho desirable).
* Experience with Canva or marketing support (advantageous).

A qualification in Administration, HR or Event Management is desirable. Most importantly, you take pride in delivering quality work and enjoy being a trusted, dependable part of a high-performing team.
