About the Role


We are seeking an experienced Contracts Administrator to support the delivery of Class 2 residential construction projects. This is a hands-on role working closely with Project Managers, Site Teams, consultants, and subcontractors to ensure projects are delivered commercially, contractually, and operationally to a high standard.


Key Responsibilities


Document, Design & Project Management

* Manage and control all project documentation in accordance with company procedures
* Upload, issue, supersede, and distribute design, specification, safety, and construction documentation via Procore
* Prepare and issue transmittals and maintain accurate document registers
* Organise and attend design and consultant meetings, including agendas and minutes
* Coordinate RFIs and RFAs across consultants, subcontractors, and stakeholders
* Assist with design programmes, construction programmes, and project handover documentation
* Assist with lodgement of CC and OC applications via the NSW Planning Portal

Tendering, Procurement & Contracts

* Compile and issue tender packages including drawings, specifications, and schedules
* Complete take-offs and assist with preparation of SOWs and BOQs
* Coordinate tender RFIs, clarifications, and evaluations
* Assist with subcontractor appointments, purchase orders, and contract execution
* Administer variations, EOTs, delay notices, and contractual correspondence
* Compile certification, handover documentation, and assist with deeds of release

Financial & Cost Management

* Assist with assessment of subcontractor progress claims
* Issue payment schedules in accordance with the Security of Payment Act
* Support monthly cost reporting, cashflow forecasting, and commitment tracking
* Assist with financial dispute management and coordination with Accounts

Construction, WHS & Quality

* Liaise closely with Project Managers, Engineers, and Site Teams
* Assist with urgent procurement to maintain site productivity
* Support development and compliance of WHS and Quality Management documentation
* Participate in site inspections and audits to ensure compliance

Stakeholder & Team Support

* Build and maintain strong relationships with subcontractors, consultants, certifiers, and regulators
* Provide clear communication on project milestones and requirements
* Support and mentor Project Administrators / Cadets, ensuring work meets company standards


Skills & Experience

* 2–5+ years' experience as a Contracts Administrator on Class 2 residential projects
* Experience in apartment, mixed-use, or multi-residential construction
* Strong understanding of contract administration, cost control, and procurement
* Procore proficiency (Preferred)
* Experience administering subcontractor claims, variations, and EOTs
* Strong organisational skills with high attention to detail
* Ability to manage multiple work packages concurrently
* Proficient in Excel and Bluebeam


Qualifications

* Degree or Diploma in Construction Management, Quantity Surveying, or similar
* White Card (Essential)
* Demonstrated NSW Class 2 construction experience (Essential)
