Primary objective
Oversee office management for the Office of the Director of Public Prosecutions and ensure the delivery of efficient facilities for all
corporate support services, while managing day-to-day tasks and enhancing corporate performance through effective governance, travel,
and contract management.
Key duties and responsibilities
1. Provide comprehensive corporate services, including business systems management, corporate reporting, infrastructure and asset
management financial management, and procurement for DPP's Darwin and regional offices.
2. Coordinate and manage DPP vehicles, including ordering replacements, servicing, and fuel cards.
3. Serve as the first point of contact for DPP staff and for AGD corporate services and external vendors to fostering positive relations
and effective communication with internal and external stakeholders delivering a range of general administrative tasks.
4. Manage the DPP's budget, oversee accounts payable, tax management and ensure compliance with financial governance and
reporting requirements.
5. Monitor and manage DPP's ICT assets, providing support and ensuring accurate accounting and maintenance of equipment.
6. Oversee building security, maintenance, and renovations, coordinating with contractors and updating Directors and staff.
1. Maintain governance registers, ensuring compliance with reporting systems and initiating emergency procedures as needed.
2. Provide an efficient and effective travel management services as backup for the Travel Manager, organising travel arrangements for
staff and external parties in line with NTG Travel Policy.
9. Provide timely, authoritative and specialist / office management focused advice, recommendations and solutions to the Manager
Business Support, the Assistant Director, DPP managers and other internal staff members.
10. Assist in the development, implementation and continuous improvement of workflow practices, systems and procedures.
Selection criteria
Essential
1. Highly developed interpersonal skills and demonstrated ability to work in a collaborative environment, be successful in a facilitative
role and create a positive and professional business relationship with internal stakeholders and external stakeholders, i.e., contractors
and service providers, other government departments and / or third-party service providers.
1. Sound knowledge, experience and demonstrated ability in the application of financial accounting principles and practices in budget
management, governance, procurement, and internal control frameworks including Financial Management Act, Public Sector
Employment and Management Act, Procurement Act and other relevant policies and legislation.
1. Ability to work with minimal supervision, both independently and interdependently, as a member of a high performing team.
2. Proven capacity to successfully deliver office management services reinforced by the demonstrated ability to interpret and apply
relevant legislation, guidelines, policies, and procedures to ensure compliance.
5. Proven ability to use a wide range of computer software packages and competency in the use of office automation software, complex
document management including, but not limited to, Microsoft suite of products, electronic records system, travel systems, email,
databases and contemporary IT meeting tools, and databases and integrated accounting programs including GAS, Boxi, NTG Pay and
Expense8 or similar.
Desirable
1. Tertiary qualifications in Accounting, Business Management, or other relevant discipline.
1. Knowledge of the role and functions of the Director of Public Prosecutions.
