The Role
This position involves providing proactive practice and administrative support to the firm's lawyers, primarily relating to billable client work, ensuring professional service in line with firm policies and procedures.
You will be part of a client matter team, supporting processes from inception to completion, including billing and collection. The Practice Support Coordinator will own their key responsibilities.
Key Responsibilities
Matter Management
* Client and matter clearance and opening
* AML processes
* MTM maintenance
* Managing associate checklists
* Administering matter projects from opening to closing, including setup of SharePoint sites, updating email lists, and supporting post-closing activities such as billing, archiving, and calendar management
* Supporting client & matter-team meetings and updates
Commercials/Billing/Collections
* Monitoring project scope, estimates, caps, and billing agreements
* Managing matter balance reports and client fee updates
* Facilitating Working Capital activities, including organizing monthly review meetings and preparing drafts for review
* Supporting billing and collection tasks, including raising bills, invoices, tax computations, and liaising with the billing team
Business Development Support
* Amending business development materials such as CVs, pitches, and client briefings
* Monitoring and updating business development collateral and trackers
* Organizing and supporting events, including virtual ones
* Updating clients and coordinating schedules with visiting partners
Matter Team Support
* Document production, editing, and amendments
* Ensuring documents comply with house style
* Signing pages, e-Filing, and post-closing activities
* Preparing and distributing bibles
Legal Tech and Projects
* Supporting legal technology tools, including the Best Delivery checklist
* Acting as a superuser for delivery tools
* Facilitating end-of-matter reviews to identify follow-on opportunities
Your Experience
* Minimum 2 years' relevant experience in a professional services environment
* Ability to work in a high-performing environment
* Proficiency in Microsoft Word, Outlook, Excel, and PowerPoint
* Strong organizational skills and attention to detail
* Proactive, mature, and collaborative approach
* Respectful and able to work inclusively within teams
* Autonomous and team-oriented working skills
* Ability to innovate and streamline processes
