National Retail Lease Administrator

A rare opportunity has arisen to join a major national retail business undergoing significant transformation and growth. With a large-scale rebrand and store conversion program underway, this role offers the chance to step into a high-impact national position at a pivotal time for the business.
This is a senior leasing role suited to someone who combines strong legal and commercial capability with the ability to operate in a fast‐paced, high-volume environment. You will play a key role in managing lease documentation across a large national portfolio, driving consistency across precedents, improving turnaround times and supporting a major pipeline of lease extension and lease break activity linked to a significant store conversion program. Based in Melbourne, this role sits within a high-performing property function and will have leadership responsibility, including the opportunity to recruit and build out your direct report.
About the Role
This is not a traditional lease administration position. It is a commercially focused role with real scope, ownership and influence.
You will be responsible for leading the review, negotiation and execution of lease documentation across a national retail network, while refining precedents, strengthening lease governance and improving the efficiency of the overall leasing process.
A key focus of the role will be supporting a large-scale rebranding and conversion project involving approximately 700 store conversions, with a significant volume of lease extensions and lease break negotiations required across the portfolio.
Key Responsibilities
* Lead the review, negotiation and finalisation of lease documentation across a national retail portfolio
* Manage high volumes of lease extensions, renewals, lease breaks, variations and related documentation
* Own and improve national leasing precedents to ensure consistency, commercial alignment and risk management
* Drive improved leasing outcomes, including reducing timeframes for bringing leases to conclusion
* Ensure lease documentation is executed within required timeframes and signed prior to handover
* Work closely with internal property, development, legal and operational stakeholders to support transaction delivery
* Identify process improvements and help modernise leasing systems, frameworks and governance
* Recruit, mentor and lead a direct report as the function evolves
About You
* Ideally you are an in-house solicitor or a lease admin professional with strong legal capability in retail or commercial property
* Proven experience managing retail or commercial leases in a fast-paced, high-volume environment
* Strong background in lease negotiation, lease administration and precedent management
* Comfortable balancing legal risk, commercial outcomes and operational deadlines
* Highly organised, detail-oriented and able to manage multiple priorities at once
* Confident working across internal and external stakeholders
* A proactive, solutions-focused approach with the ability to improve process and drive accountability
* Experience within a national retail portfolio or large-scale property environment will be highly regarded
Key Measures of Success
* Improving VIP lease clauses and broader lease framework quality
* Reducing lease turnaround times, with a target of 28 days from receipt of lease
* Ensuring all lease documentation is finalised and signed ahead of handover
* Supporting the successful delivery of a major national conversion and growth program
