Primary objective
Provide high level executive, corporate, administrative, and secretarial support to the Deputy Chief Executive Officer/Deputy
Commissioner. This role is the first point of contact for the respective office and is responsible for executive co-ordination of information
from various sources across the department, to ensure agency priorities are met.
Context statement
Two Senior Executive Assistant positions are being recruited to the Office of the Deputy Chief Executive Officer and the Office of the
Deputy Commissioner respectively. Key criteria for consideration are extensive senior executive level support and experience in a fast
paced and highly confidential environment; significant system experience in navigating new and emerging technologies to create workflow
efficiencies; and strategic thinking and business acumen to anticipate and proactively manage organisational priorities. The positions are
key support roles to high level Executive positions that require dedicated, confidential and highly ethical support.
Key duties and responsibilities
1. Ensure a professional and efficient approach to the management of executive support services, maintaining high standards of
professional service at all times and supporting other executive areas as required.
1. Provide executive level secretarial and administrative support, including managing complex schedules and priorities efficiently and
professionally, record, track, and oversee the timely movement and processing of correspondence through the Deputy's office
including initiating follow up action on matters to ensure timeframes are met to a high standard.
1. Provide secretariat support to meetings and committees including drafting of correspondence, minutes, scheduling and presentations.
2. Carry out projects successfully, conduct research and provide additional assistance to the Executive as needed.
3. Organise conferences and meetings, by coordinating the preparation of relevant papers, materials and minutes. Manage audio-visual
requirements, catering and other logistical details to ensure successful events.
6. Represent the Office to the highest standard, maintaining discretion and ethical standards that are representative of the NT Police
Force.
Selection criteria
Essential
1. Proven successful experience in providing executive-level administrative and secretarial support, including the ability to handle
sensitive matters with discretion, and demonstrated commitment to maintaining confidentiality while acting with impartiality and
integrity.
1. Superior experience with office procedures and systems, including Microsoft Office Suite applications and collaboration tools such as
Teams and SharePoint.
1. Strong analytical and problem solving skills with the capacity to provide insights and recommendations that support the strategic goals
of the department.
1. Demonstrated exceptional interpersonal, verbal, and written communication skills, including the ability to effectively communicate
with executive staff while maintaining appropriate formalities and protocol.
1. Proven experience in collaborating effectively with senior management, staff, and peers to achieve departmental objectives within a
fast paced environment where priorities change and an agile approach is required.
1. Demonstrated exceptional organisational skills, including the ability to work under pressure, meet deadlines, work independently, stay
self-motivated, exercise initiative, and maintain attention to detail in a high volume work environment.
1. NT Drivers Licence and confidence to drive vehicles for business requirements as needed.
Desirable
1. Certificate Ill or IV in Business Administration, or an equivalent qualification.
2. Knowledge of, or the ability to quickly develop a working understanding of, government processes and agency frameworks, including
Cabinet and ministerial procedures, procurement, record management, risk management, and recruitment.
