About the Role
This is a Customer Service Administrator position in a busy Geelong Branch.
Responsibilities include:
1. Answering and directing incoming phone calls, maintaining confidentiality and ensuring messages are accurately conveyed.
2. Supporting financial processes by coding invoices, verifying delivery documents, and ensuring timely payment matching and invoice submissions.
3. Assisting with branch petty cash responsibilities under Manager supervision.
4. Preparing and distributing customer invoices, ensuring prompt posting.
5. Providing assistance with job management, material procurement, and document preparation.
6. Maintaining high accuracy in data entry tasks.
7. Coordinating appointment schedules when necessary.
8. Maintaining organized filing systems for easy retrieval of documents.
9. Helping coordinate service schedules for technicians and ensuring accuracy in subcontractor invoices.
10. Managing incoming mail and compiling outgoing mail for weekly dispatch to Head Office.
11. Attending meetings as requested and documenting key notes and action items.
12. Archiving records according to legal and organizational requirements.
The ideal candidate will have:
1. A level of skills commensurate with 2-3 years of administration experience.
2. Strong technical and problem-solving skills and setting priorities.
3. Demonstrated ability to exercise good time management.
4. Excellent interpersonal skills.
5. Sound coordination and communication skills.
6. Computer skills are essential.
