APS 4 Secretariat Officer We are seeking to fill APS 4 Secretariat Officer positions on a labour hire, non-ongoing, or Section 26 transfer basis within the Federal Government. Australian Citizenship is required, with Baseline Clearance preferred or the ability to obtain one. This is an exciting opportunity to work within a high-profile Commonwealth agency, supporting senior executives and contributing to the coordination and delivery of high-quality secretariat and governance support. The successful candidate will bring strong administrative, coordination, and stakeholder management skills to a fast-paced and dynamic environment. Key Responsibilities: As an APS 4 Secretariat Officer, your duties will include: Providing secretariat support for high-level meetings, including preparing agendas, coordinating papers, taking minutes, and tracking actions. Managing email inboxes, correspondence, and information flow to ensure timely responses and document handling. Supporting the scheduling and coordination of internal and external meetings. Liaising with internal and external stakeholders to coordinate input, provide updates, and ensure follow-up on governance requirements. Assisting with records management and maintaining version control for governance documents. Supporting reporting processes and regular briefings to senior executives and governance bodies. Contributing to process improvement initiatives and the efficient operation of the broader team. Performing general administrative support and ad-hoc duties as required. To be successful in this role, you will have: Australian Citizenship (mandatory). A proven ability to deliver secretariat and administrative support in a fast-paced, professional environment. Excellent written and verbal communication skills, with a high level of attention to detail. Strong organisational and time management skills, with the ability to prioritise competing tasks and meet deadlines. Well-developed interpersonal skills, with the ability to liaise confidently and professionally with a range of stakeholders. Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint) and experience working with shared drives and document control systems. A high degree of professionalism, discretion, and commitment to confidentiality. Knowledge of public sector governance or committee processes (desirable).
