About the Role
We are seeking a Youth Services Administration Officer (Level 2) to join our team in Mackay on a fixed‑term basis. Reporting to the Business Services and Development Manager, this role provides vital administrative support across youth services, residential operations, program coordination, and business functions.
This position operates under general guidance, using established procedures, and requires discretion when handling sensitive or non‑routine information. The role directly contributes to positive outcomes for young people within crisis accommodation services.

Key Responsibilities
Residential & Crisis Accommodation Support
* Provide administrative support relating to daily routines within crisis accommodation, including correspondence and communication.
Business Administration Support
Administrative Coordination
* Prepare internal reports, activity summaries, and data extracts.
* Maintain accurate digital and paper records in line with privacy and service standards.
* Complete data entry into SHIP, QHIP, and other organisational systems.
* Compile meeting agendas and minutes.
Office & Operational Support
* Assist with reception duties and manage enquiries.
* Support scheduling, calendar management, and staff onboarding.
* Draft correspondence, forms, and documents using templates.
* Provide general administrative support across the organisation.
Financial & Compliance Administration
* Assist with rent collection, petty cash, and basic financial record keeping.
* Track mandatory training and compliance documentation.
* Support WHS reporting, incident documentation, and audit preparation.
Community & Stakeholder Liaison
* Assist with coordination of external provider visits.
* Support referral administration following established procedures.
General Compliance & Quality
* Maintain accurate documentation, shift notes, and activity logs.
* Adhere to all organisational policies, including child safety, privacy, WHS, and anti‑discrimination.
* Support quality assurance processes and service reviews.
What We’re Looking For
Essential
* Experience in business or receptionist administration.
* Organisational and administrative skills.
* Demonstrated ability to handle sensitive information with confidentiality.
Skills & Abilities
* Competency in Microsoft Office, SharePoint, Teams, data entry, and documentation systems.
* Ability to assist with administrative, financial, and operational tasks.
Personal Qualities
* Professional communication and strong interpersonal skills.
* Reliability, emotional maturity, and ability to work within guidelines.
Qualifications & Requirements
* Certificate or Diploma in Business Administration or equivalent experience.
* National Police Check.
* Current First Aid and CPR (or willingness to obtain within one month).
* Manual Driver’s Licence (preferred).
