Are you a highly organised, detail-driven professional with a knack for keeping things running smoothly? Maisey Fuels is seeking a dynamic Administration Officer to assist with keeping the office moving. This is a pivotal role that blends front-of-house reception duties with comprehensive administrative and bookkeeping support across our busy fuel and grain logistics business.
Key Responsibilities
 * Ensure smooth and professional operation of front office and reception duties
 * Manage incoming calls, emails, mail, and general office enquiries
 * Maintain and update databases, registers, and filing systems
 * Perform accurate data entry for fuel, grain carting, safety and Heavy Vehicle Accreditation (HVA) records
 * Coordinate office supplies, uniforms, kitchen stock, and valvoline orders
 * Support the team with invoicing, document scanning, calendar coordination, and farm delivery notifications
 * Assist with travel and accommodation bookings for staff
 * Update fuel pricing
 * Provide end-to-end support for accounts and administrative workflows
 * Prepare agenda items and taking accurate minutes for Toolbox Meetings
 * Collaborate with the Accounts Administrator on bookkeeping tasks including, Accounts payable/receivable, Bank reconciliations, Overdue debtor follow-up, Xero purchase orders and EOFY preparation
 * Deliver exceptional customer service and liaise professionally with internal and external stakeholders
 * Help resolve or redirect inquiries and complaints constructively
What You'll Bring
 * Proven experience in office administration and reception
 * Strong proficiency in MS Office Suite (especially Excel), Xero, and internal sales/purchase systems
 * Exceptional attention to detail and time management skills
 * Ability to multitask and prioritise in a fast-paced environment
 * Excellent communication and interpersonal skills
 * A proactive, flexible attitude and willingness to support the wider team
