The NDIS Administration Assistant is responsible for keeping the business compliant, organised, and operationally sane. This role supports service delivery, safeguarding, and financial accuracy — not “helping out where needed.”
If this role fails, audits fail, invoices fail, and risk escalates. Simple.
Key Responsibilities
NDIS & Compliance Administration
* Maintain participant files in line with NDIS Practice Standards
* Upload, track, and version-control:
* NDIS plans
* Service Agreements
* Consent forms
* Risk assessments
* PBSP acknowledgements & training records
* Ensure correct document storage, naming, and access controls
* Track compliance items (expiry dates, missing documents, incident follow-ups)
* Support preparation for NDIS audits, spot checks, and investigations
Service Delivery Support
* Coordinate service commencements and exits
* Liaise with:
* Support Coordinators
* Allied Health providers
* Behaviour Support Practitioners
* Manage intake paperwork and onboarding checklists
* Track changes to supports and notify relevant internal staff
Scheduling & Workforce Support
* Assist with:
* Rosters
* Shift confirmations
* Worker onboarding documentation
* Track mandatory checks:
* NDIS Worker Screening
* Police checks
* Training records
* Maintain up-to-date staff files
Finance & Claims Support
* Assist with:
* NDIS claiming (myplace / PACE)
* Invoice preparation and reconciliation
* Ensure claims align with:
* Service Agreements
* Delivered supports
* Correct line items
* Flag discrepancies immediately
Communication & Records
* Manage incoming emails and calls professionally
* Maintain accurate file notes and communication logs
* Draft professional correspondence where required
* Protect participant privacy at all times
Required Skills & Experience
Non-negotiable:
* Experience in NDIS administration, disability, or aged care
* Strong understanding of:
* NDIS Practice Standards
* Participant confidentiality
* Service Agreements & funding types
* High-level attention to detail (errors = risk)
* Confidence using:
* CRMs
* Cloud document systems
* NDIS portals (or ability to learn fast)
Personal Attributes
* Organised to the point of obsession
* Comfortable enforcing process (even with managers)
* Knows when to escalate
* Can handle sensitive information
