Astute Financial Management is a leading financial services company based in Toowong, QLD. With over 20 years of experience, we are well respected in the Financial Services industry and proudly support more than 600 Mortgage Advisers, Insurance Brokers, and Financial Planners across Australia and New Zealand.

Due to continued growth, we are seeking a full-time Recruitment Assistant who is eager to learn and grow within a dynamic team. This role is ideal for someone who thrives on verbal communication, enjoys engaging with people over the phone, and has a strong aptitude for process-driven administration.

This fast-paced position is both challenging and rewarding, suited to a self-motivated individual who values clear spoken communication, relationship-building, and teamwork. Extensive on-the-job training will be provided during the first six months. The role is based in-office during standard business hours, Monday to Friday.

To be successful in this role, you will need to demonstrate:

* Confidence and clarity in verbal communication, especially over the phone
* Strong interpersonal skills and a professional phone manner
* Ability to build and maintain positive relationships with members and third parties
* Excellent written communication skills
* Hands-on experience with PC applications including Microsoft Office (Outlook, Word & Excel)
* High attention to detail and accuracy
* Strong organisational and time management skills
* Ability to retain and apply knowledge effectively
* Experience using multiple IT platforms
* A proactive approach to customer service and follow-up
* Ability to work both independently and collaboratively
* A professional and approachable presentation

Your responsibilities will grow over time to include:

* Engaging in regular phone and email communication with members and third parties to gather documents and information
* Building rapport and fostering ongoing relationships with stakeholders to ensure smooth onboarding and continued support
* Following structured processes and checklists to onboard new Members
* Reviewing applications and updating internal databases
* Preparing templated legal agreements with precision
* Coordinating document delivery and ensuring timely processing
* Proactively following up on expiring licenses and certificates
* Conducting internal audits to maintain data accuracy
* Supporting the team with additional administrative tasks as required
