Coastal Electrics is a leading electrical contractor servicing the mining and resources sector across Western Australia. We are currently seeking a highly organised and proactive Mobilisation Coordinator to join our growing team with an immediate start.
This is a pivotal role responsible for coordinating workforce mobilisation across multiple projects, ensuring all personnel meet client, project and company requirements prior to site access.
About the Role
Reporting to the Operations Manager, you will be responsible for managing end-to-end mobilisation processes, including site access compliance, travel logistics, onboarding coordination and ongoing workforce compliance.
You will work closely with project teams, supervisors, and external stakeholders to ensure a smooth and efficient mobilisation experience across the business.
Key Responsibilities
Mobilisation & Coordination
* Manage mobilisation for employees and subcontractors across multiple projects
* Coordinate travel, accommodation, rosters and site start dates
* Liaise with project teams and stakeholders to confirm mobilisation requirements
* Maintain mobilisation schedules and workforce trackers
Compliance & Site Access
* Collect, review and submit mobilisation documentation (licences, VOCs, medicals, inductions etc.)
* Ensure all personnel meet client and project compliance requirements prior to mobilisation
* Submit and manage site access applications via client portals
* Monitor and track expiry dates, renewals and compliance status
Inductions & Training
* Coordinate and track required site inductions
* Provide support and guidance to personnel completing onboarding requirements
* Maintain accurate induction and competency records
Travel & Logistics
* Arrange flights, accommodation, vehicles and mobilisation logistics
* Issue mobilisation packs and travel itineraries
* Coordinate PPE and site-specific equipment requirements
Communication & Support
* Act as the central point of contact for mobilisation queries
* Provide clear communication to employees regarding mobilisation requirements and timelines
* Collaborate with HR, HSE and project teams
Reporting & Continuous Improvement
* Maintain accurate records and databases
* Prepare mobilisation status reports
* Identify process improvements and assist with procedure development
About You
To be successful in this role, you will demonstrate:
* Previous experience in mobilisation, onboarding, recruitment coordination or site access administration
* Strong understanding of mobilisation processes within the mining/resources sector
* Experience using client portals (e.g. Fortescue, Pilbara Minerals, Roy Hill, Rio Tinto, BHP)
* Highly desirable: Experience with Fortescue Workflow and Spear personnel management systems
* High attention to detail and ability to manage multiple priorities
* Strong communication and stakeholder engagement skills
* Proficiency in Microsoft Office and digital record systems
* Knowledge of trade qualifications, licences and compliance requirements
