How You'll Make a Difference
Reporting to the local Port Manager, your key responsibilities will include:
* Acting as the main point of contact for crew regarding operational administration and general support.
* Monitoring and maintaining compliance with crew certifications, inductions, and training requirements.
* Supporting the onboarding of new crew, including arranging PPE, and verifying completion of all required inductions and documentation for site access.
* Managing site vehicle needs, including novated lease arrangements and fuel card coordination.
* Preparing and reviewing crew timesheets to support accurate and timely payroll processing.
* Scheduling and coordinating meetings, events, and site visits for operational staff and stakeholders.
* Maintaining stock levels of office supplies, stationery, and other operational support materials.
* Processing purchase orders and ensuring accurate invoice coding and tracking.
* Assisting with the preparation of reports, presentations and correspondence.
* Contributing to safety and wellbeing activities as a designated Fire Warden and First Aid Officer.
What You'll Bring
To thrive in this role, you'll bring:
* Demonstrated experience in administrative, office coordination or operational support roles – familiarity with the maritime industry is an advantage.
* Strong organisational skills with the ability to prioritise tasks, meet deadlines, and stay focused in a fast‑paced environment.
* A high level of attention to detail and accuracy across all aspects of your work.
* Confidence in interpreting and following operational procedures and processes.
* A personable, approachable nature – you enjoy building relationships and supporting a cohesive, collaborative team environment.
* Solid computer literacy, including experience with Microsoft Office and business systems – exposure to platforms such as Workday, Sertica, or accounting programmes will be highly regarded.
* The ability to handle confidential and sensitive information with discretion and professionalism.
* A proactive attitude, willingness to learn, and a commitment to contributing to a safe and efficient workplace.
