**The Role**

Reporting to the Portfolio Lead, this role supports a team of scientists, engineers, and project staff, providing assistance and team administration, to ensure timely and efficient team activities.

**The Duties**

**Accountability 1: Team Assistance**
- Provide high level and confidential administrative support to Portfolio Lead
- Manage professional scheduling and meeting preparation for the Portfolio Lead
- Manage inboxes, prioritizing, and initiating response where required
- Follow up payment of invoices, queries, monthly expenses, and credit cards for team members
- Ensure readiness and distribution of presentation and discussion materials for all team meetings
- Create presentations on behalf of team members for review and delivery
- Produce meeting minutes and assign action items for all team meetings
- Print and collate materials required by various project teams

**Accountability 2: Communication**
- Effectively communicate with the Portfolio Lead and stakeholders to ensure planning and priorities are aligned across the Operations teams.
- Anticipate necessary actions to support workflow, including setting reminders and prompts to action tasks

**Accountability 3: Administration Support**
- Provide administration support to Team and Executive Assistants across the business where required
- Provide timely calendaring information and support to Team and Executive Assistants to ensure visibility across the business
- Support the collation of information for Board and Committee papers in relation to Operations team members

**Minimum**:

- Previous experience in secretarial, administration, or assistant roles, successfully managing multiple tasks and competing priorities
- Exceptional time management and organizational skills
- Strong written and verbal communication skills with a high attention to detail and ability to maintain confidentiality
- Skilled user in Microsoft Office suite, including Word, Excel, Powerpoint, Teams, and SharePoint
- Good interpersonal skills and the ability to work collaboratively with others team members
- Ability to adapt to changing priorities and respond to unexpected tasks as they arise
- Ability to work autonomously

**Ideal**:

- Previous experience supporting C-suite
- Previous experience using Dynamics 365
