Our inner-city Architecture client is seeking a Studio Administration Assistant to join their support services team.
As a medium-sized business, our client is looking for an all-rounder administrator who is adaptable and adaptable to changing priorities amongst the two technical teams (heritage consultants and architects). This company works on a variety of architecture and heritage projects across Australia.
**The role**:

Reporting into the Practice Principal, and working closely with the Studio Manager, you will be an integral part of the team providing administrative support to both internal and external stakeholders.
You will be responsible for receiving client/job enquires and taking client briefs, supporting with fee/tender/submissions proposals, project administration, subconsultant management, OHS/Compliance, finance support, etc.
The business will be transitioning from Deltek Vision to Total Synergy project management system. It is advantageous if you have experience in either software systems.

- **This role is based in the office full-time, Monday-Friday.**
**Duties will include**:
- Answering client queries and taking in client briefs. 
- Project administration including tracking and preparation of tenders, and coordination of sub-consultant engagements 
- Coordinate internal meetings for project updates 
- Assist the team with submission and fee proposal preparation 
- Maintain database, documentation and records 
- OHS and QA requirements 
- Support the finance team with AR/AP, monthly invoicing, and payroll 
- Ad-hoc administration duties
**Skills and experience required**:
- Prior administration experience in Architecture/Design industry is advantageous (or would consider experience in other disciplines - engineering, construction, planning, property development) 
- Understanding or interest of heritage/conservation project work. 
- **Experience with Total Synergy is advantageous**:
- Ability to work autonomously and be self-driven 
- Excellent organisation, communication and planning skills 
- Strong collaboration skills and ability to liaise with staff at all levels
