About the job:

This flexible, working-from-home, part-time role provides a variety of functions encompassing executive-level administrative support to the General Manager, Business Manager and Administration Manager.

Responsibilities:

Administration Manager support

* Create invoices and accruals in Qdos (our bespoke information management system - we'll train you).
* Upload remittance advices received to Qdos.
* Reconcile monthly/quarterly foreign Practice payments received into Qdos.
* Prepare Certificates in Qdos.
* Process Email returns.
* Review and redirect email /phone enquiries.
* Review pending Certificates.
* Review suspended and withdrawn Certificates at client websites.
* Review all Practice websites / social media pages.

Business Manager support

* Update monthly business reports (Excel).
* Update Practice ownership details.
* Maintain Practice activity reports (Excel).
* Maintain CRM.
* Maintain new Clients/Accounts lists.
* Ad hoc analytical work.
* Collate and distribute regular communications – updates, newsletters, notifications.

General Manager support

* Add/Edit System Improvement Notices in Qdos.
* Update Quarterly Practice-level KPI Targets summary.
* Update Practices' details in Qdos.
* Schedule Internal Audits in Qdos and communicate details, liaise with the relevant people.
* Communicate with EAPL Persons to maintain Person Credentials, Experience (Partner-level).
* Communicate with EAPL Persons to maintain Person Impartiality Data (Partner-level).

Qualifications:

* Minimum of 1-2 years' experience in financial or accounts areas is required.
* Specific, demonstrable skills in accounting principles and software (e.g. Xero).
* Bookkeeping knowledge: understanding of Accounts Payable (AP), Accounts Receivable (AR), reconciliations, and general ledger maintenance.
* Very high level of attention to detail, accuracy in data entry.
* Strong numeracy skills.
* Problem-solving and critical thinking skills.
* Strong verbal and written communication skills.
* Strong knowledge of Microsoft applications including Outlook, MS Teams, Word, and especially Excel.
* Studies in Business or Commerce or Accounting and Bookkeeping is desirable.
