Sakata Clinic is looking for an experienced medical administrator to lead the patient journey in our Colorectal surgery clinic. The right candidate will be enthusiastic, empathetic, and pride themselves on making sure our patient’s needs are prioritised with respect and compassion.

What we’re looking for:

Experience: You’ve worked in medical administration before, with experience in booking theatre lists, quoting and billing, lodging online claims, and liaising with hospitals and anaesthetist offices.

Professionalism: From your personal presentation to the way you communicate, it’s essential that you exhibit a high standard of professionalism that helps our patients feel comfortable and reflects the trust that they put in our services.

Exceptional customer service: Our motto is that the needs of the patient come first. You pride yourself on going above and beyond for patients and enjoy interacting with a diverse range of people. Empathy is a must as you will need to be patient and understanding when dealing with patients during a sensitive and often stressful time for them.

Organised and self-motivated: You will often be working independently, so being able to manage your own workload and be accountable for completing all tasks with minimal oversight is essential. You will be responsible for ensuring patients are followed up, surgery lists are organised and full, and patient invoices are issued and paid.

Trustworthy: Patient and business confidentiality is essential when working within a sensitive medical environment.

About Sakata Clinic:

We are a boutique private Colorectal surgical practice led by experienced Colorectal Surgeon Associate Professor Shin Sakata. A/Prof Sakata places a high priority on patient care and expects this to be exemplified by all members of the team.

Our practice uses Gentu practice management software. Experience with this software should be mentioned in your application. We are a private billing practices that participates in the Gap Cover programme.

About this role

This position is the senior role in our small office. The primary responsibility is to coordinate our patients’ surgical journeys following their initial consultations with A/Prof Sakata and ensure that our theatre time is booked as effectively as possible. This includes:

* Meeting with patients to discuss admin logistics, including the fee structure;

* Organising informed consent paperwork;

* Booking surgery, planning theatre lists and sharing these with the Hospital and Anaesthetist offices;

* Issuing invoices and taking payment;

* Lodging online claims with Medicare, Health Funds, and other organisations; and

* Handling patient questions and ensuring they are informed and prepared for surgery.

You will work closely with our part-time receptionist, including helping with reception duties when necessary, such as answering phones, managing patient referrals, and responding to enquiries.

This role includes regular days working independently in the office. It’s important that this time is used effectively to catch up on admin and prepare for busy consult lists, as well as ensuring the clinic is staffed for patient enquiries. A/Prof Sakata also consults every second Saturday; the Clinic Coordinator is required on these days to assist with patients.
