ABOUT THE ROLE: The role of the Executive Assistant is to provide comprehensive and high-level executive support to the Chief Executive Officer (CEO), the Deputy Chief Executive Officer (DCEO), the Chairperson and the Executive Board. Ensuring the continued integrity in the administration of the KLC’s governance compliances and executive policies. This role is based in the KLC Broome Office. KEY RESPONSIBILITIES: Managing the office of the CEO 1. Establish strong relationship with CEO, ensuring a comprehensive awareness and understanding of CEOs priorities and commitments, with appropriate communications with stakeholders and externals, including Ministers and CEOs. 2. Maintain the CEO, DCEO and Chairperson diaries, organise travel and purchase orders, and prepare briefing files as requested. 3. Be available to act as a primary point of contact for the CEO at all times. 4. Manage incoming correspondences and appointments to the CEO (and Chairperson where directed by CEO), including: Screen phone calls and routine enquiries for the CEO. Monitor the CEO’s correspondences and appointments, print relevant documents for their consideration and prepare briefing summaries. Redirect correspondence to relevant staff member and/or manager. 5. Prepare correspondence under the direction of the CEO, including drafting of letters, memos and other relevant documents. 6. Be abreast of CEO contacts and stakeholders and maintain up to date contacts, profiles and portfolios particularly in key areas of: · KLC Executive Board and Representative Council · State and Federal government (including parliamentary processes and Ministers) and · Industry and partners 7. Act as liaison between the Board of Executive Directors, Representative Council and KLC Members and the CEO. Corporation Governance and Compliances 8. Manage Board, Representative Council and committee processes including ensuring preparation of board and committee papers, circulation of agendas, minutes, discussion papers, and proposals in a timely and organised manner. 9. Undertake the administrative functions of the company secretary including attendance at and minute taking for all Board meetings, Representative Council meetings and the AGM. 10. Prepare all relevant material required for Board meetings (and board subcommittee meetings) including drafting and settling the agenda, new membership applications, correspondences and reports and maintain accurate records of attendance, minutes, actions and resolutions. 11. Coordinate the Board members attendance at the Annual General Meeting including agenda, venue, travel, accommodation and budgets. 12. Maintain KLC Members’ database and records. 13. Compile and submit membership reports, general reports, director’s reports, financial reports and other relevant documents annually (and whenever required) to comply with the corporate requirements of the Office of the Register of Aboriginal Torres Strait Islander Corporations (ORIC) and keep record of submissions, changes or updates and report to the KLC board. 14. Maintain the Complaints Register, monitor and record complaints processes, ensure process is publicly available and report annually. 15. Ensure records of members and directors’ meetings are kept in compliance with the CATSI Act and the Constitution. Administrative processes 1. Maintain and update all files and documentation for the CEO (and chairperson where directed by the CEO); 2. Reconcile CEO’s and DCEO’s Credit Card monthly for processing by accounts department. 3. Organise travel and other logistical arrangements for the Chairperson, Deputy Chairperson, Management Team, other staff members, consultants and Traditional Owners when accompanying the CEO or as directed by the CEO. 4. Organise Executive Board and Representative Council meetings logistics including venue, travel and accommodation for attendees, budget preparation and monitoring. 5. Liaise with other KLC Units and staff on behalf of the CEO and arrange meetings or appointments as necessary. 6. Perform any other duties consistent with the above as directed from time to time by the CEO, DCEO or Executive Services Manager. SELECTION CRITERIA: To be successful for this opportunity, you will hold a certificate in Business Administration or related field or bring work experience relevant to this position. You enjoy working with people and building relationships, and have the ability to multi task, use initiative and work with a high level of integrity and confidentiality. Essential Minimum Certificate IV in Business (Administration) or practical experience in a similar role. Excellent written and verbal communication skills including a demonstrated ability to communicate and collaborate effectively at all levels. Demonstrated ability to maintain confidentiality, exercise discretion, judgement, initiative and deal with difficult situations. Adept in the use of technology including Microsoft 365, email and search engines. Possess exceptional administrative, organisational and time management skills with a proven ability to multitask, prioritize and work under pressure whilst maintaining attention to detail. Ability to collaborate and work as part of a dynamic and dedicated team. Willingness to travel as part of the role. Valid Driver’s license. Desirable 1.
