About the Role
The Service Coordinator reports to the Service Manager and works alongside another experienced coordinator. The role involves scheduling and coordinating service activities, managing technicians, and ensuring clients receive timely updates and exceptional service.

Key Responsibilities
Plan and schedule service jobs based on priority, technician availability, and location.
Raise new jobs, issue work orders, and update job systems.
Manage purchase orders and maintain accurate job tracking.
Coordinate emergency breakdowns and urgent service requests.
Serve as first point of contact for clients, provide clear updates on job progress, and resolve scheduling conflicts.
Update and manage all active job statuses, verify job details, parts, compliance requirements, and documentation.
Assist in preparing job quotes and reviewing timesheets.
Process new NAB Transact customers.
Coordinate dispatch of parts and materials, liaise with suppliers, and manage equipment allocation and tool tracking.
Ensure all service activities meet safety and regulatory standards, assist with documentation for refrigeration and environmental compliance, organise SWMS, inductions, and relevant tickets.
Oversee fleet servicing schedules and maintenance, maintain accurate vehicle usage and GPS tracking records, prepare & process invoices, arrange travel when needed, and provide occasional after-hours assistance for urgent service needs.
Skills & Experience
Experience as a Service Coordinator or Administrator in refrigeration, HVAC, mechanical, or similar industry preferred.
Strong organisational and multitasking abilities.
Excellent communication and problem-solving skills.
Confidence using service management software (Simpro highly regarded).
Ability to work independently and prioritise effectively.
Valid driver's licence.
High attention to detail and strong documentation habits.
