Executive Assistant - Full Time or Part TimeNorthern Territory Police Association – Darwin NTFull time or part time (flexible for the right candidate)About the RoleThe Executive Assistant is the central coordinating point of the Northern Territory Police Association (NTPA).
This role is broad, fast-moving and critical to the success of the Association.
It combines the classic responsibilities of executive support with the complexity of membership administration, governance compliance, event delivery, and operational oversight.You will be the person who ensures the President and Executive are supported at the highest level, while also keeping the Association's day-to-day operations running with precision.
From managing executive diaries and drafting key communications, to updating membership records, coordinating committees, delivering conferences, and overseeing travel and financial processes, you will be across it all.This is a role for someone who thrives in a high-pressure environment, can shift gears quickly, and is confident multitasking across multiple competing priorities.
Detail, accuracy and forward planning are essential, but equally important is your ability to step back, see the bigger picture, and keep everything moving in the right direction.The position may be offered on a full-time or part time basis depending on the needs and availability of the successful applicant.
Given the wide scope and time-sensitive nature of the role, a high degree of flexibility is required to respond to changing priorities and organisational demands.Key ResponsibilitiesThis role is expansive and constantly shifting — no list could capture everything you'll be across.
The responsibilities below provide an indication of the work, but the reality is far broader.
You will often find yourself stepping into new tasks, solving problems, and juggling multiple competing priorities simultaneously to ensure the Association runs smoothly.Executive SupportProvide high-level support to the CEO / President including diary, email, and travel management.Draft, review, and coordinate executive correspondence, reports, and presentations.Manage communications with members, stakeholders, and staff, ensuring timely responses.Prepare briefing materials, meeting packs, and background papers to support informed decision-making.Anticipate upcoming requirements and proactively manage workflows to keep the CEO / President ahead of schedule.Membership & RecordsMaintain accurate and up-to-date member records in the Association's database.Track squad intakes, transfers, retirements, resignations, and membership changes.Support the administration of committees, including scheduling, records, and follow-ups.Process member applications (e.g. loans, will rebates) in line with policies.Generate membership data, reports, and statistics to support planning and decision-making.Ensure data integrity, confidentiality, and secure handling of member information.Governance & Association OperationsProvide secretariat support for Executive meetings and the Annual Conference (agendas, minutes, action tracking).
Support the delivery of elections for Executive and Regional Representatives.Ensure governance activities comply with the NTPA Constitution and By-Laws, the Northern Territory Associations Act, the Police Federation of Australia Constitution and By-Laws (peak body), and relevant requirements under Fair Work Australia and the Fair Work (Registered Organisations) Act.Maintain governance registers, compliance records, and reporting systems.Assist with drafting, updating, and distributing governance documents, policies, and compliance material.Coordinate and follow through on governance action items to ensure accountability.Projects, Events & TravelCoordinate large-scale events such as the Annual Conference and stakeholder forums.Manage complex travel arrangements for the President, Executive and delegates, including itineraries and accommodation.Support organisational projects that require balancing competing deadlines and deliverables.Oversee vendor and contract management, including property leases and office operations.Assist in planning, logistics and delivery of training, workshops, and member engagement sessions.Provide on-the-ground support at events to ensure smooth running and professional delivery.Finance & AdministrationAssist with accounts payable/receivable and audit preparation.Provide administrative support to ensure compliance with financial processes.Support the development and improvement of internal processes and workflows.Assist with budget monitoring, reconciliations, and financial reporting where required.Liaise with suppliers and service providers to ensure timely and accurate payments.Maintain accurate filing and record-keeping of financial and administrative documents.Other duties as required to support the CEO / President and ensure the smooth operation of the Association.About YouYou are a proven operator who can keep pace with constant change and heavy workloads.
You bring:Experience in a senior EA, office manager, or governance support role.Demonstrated ability to multitask across multiple competing priorities in a high-volume, high-pressure environment.Strong organisational skills with excellent attention to detail.Experience in membership administration, records management or similar.Excellent written and verbal communication skills, with confidence engaging stakeholders at all levels.Proficiency in Microsoft Office, databases, and business systems.A high level of professionalism, discretion, and integrity.Flexibility to adapt to changing organisational priorities and timeframes.Why Join Us?
