About the role
The Deakin Institute for Citizenship and Globalisation (ADI) is one of Australia's leading social sciences and humanities research institutes
The Executive Officer provides governance support and administrative management for ADI and provides executive support to the ADI Director, Executive and Advisory Board.
This position provides senior level support with the administration of the Institute as well its strategic initiatives and provides support to the Director towards the fulfilment of the Institute Strategic Plan. The position also provides executive assistance to the UNESCO Chair in Comparative Research on Cultural Diversity and Social Justice.
As an Executive Officer, you will:
* Act as a coach and work with team members to facilitate growth and development by giving balanced, constructive feedback considering individual capability and team performance, in alignment with Deakin's code of conduct and core university strategies and policies that promote a safe, sustainable and productive working environment.
* Provide leadership and high level strategic support and advice to the Director into the operational functions of the Institute, including: infrastructure, financial management, human resources, events, external communications, and the provision of support in the preparation and management of grant, contract research and consultancy projects.
* Provide high level executive and governance support to the Institute, including the Director, UNESCO Chair, Leadership Group, Executive and Advisory Board.
* In consultation with the Director develop and oversee the implementation of the Institute's budget and staffing plan, ensuring that expenditure occurs in accordance with University policy.
* Manage strategic and operational administrative matters including those relating to finance, budgeting and planning, reporting, strategic planning and providing advice to staff and members with respect to the implementation and interpretation of internal and external policy and procedure.
To be successful, you'll have:
* Experience in managing administrative projects and engagement with proven ability to plan, implement, monitor and evaluate.
* Experience working collaboratively to develop and implement new frameworks and practices within a complex environment.
* Demonstrated research administration experience specifically relating to external grants proposal development and management support.
* Demonstrated experience as an assistant at an executive level.
* Significant experience at a senior administrative level, preferably within a tertiary institution, research institute or similar organisation.
* Knowledge and understanding of financial systems
* Experience working within a large scale and complex organisation.
* Experience with policy development and implementation.
