About the Role

As our Administration Coordinator, you'll work closely with the Managing Director and team to keep the business running smoothly as we scale.

Your responsibilities will include:


• Managing accounts receivable, accounts payable, and payroll


• Working in Xero and supporting financial administration


• Maintaining plant and equipment maintenance and repair registers


• Managing inventory of ordered and received goods


• Coordinating staff rosters, travel, and site mobilisations


• Mobilising personnel to site and tracking compliance documentation


• Filing, organising, and managing dockets and materials


• Liaising confidently with clients, suppliers, and internal team members


• Streamlining and improving administrative systems and processes


• General office administration including reception, couriers, and records


• Supporting the Managing Director with ad-hoc operational tasks

This role will suit someone who enjoys being relied upon and wants to grow with the business.

About You

You're organised, switched-on, and not afraid to take responsibility. You don't wait to be told what to do — you see what needs doing and make it happen. You can support a boss with a spicy brain.

You'll bring:


• Certificate IV or Diploma in Business Administration (or equivalent experience)


• 5+ years' experience in administration or office management (preferred)


• Experience with payroll and Xero


• Experience with staff mobilisation or mining services environments (highly regarded)


• Strong Microsoft Office skills (Word, Excel, Outlook)


• Excellent written and verbal communication skills


• High attention to detail and strong time management


• A practical, solutions-focused mindset


• A valid driver's licence


• An interest or experience in using AI or automation tools to improve efficiency
