Job Summary
We are seeking a highly organized and efficient Executive Assistant to provide administrative support in a team environment. The ideal candidate will have excellent communication skills, be able to work independently, and prioritize tasks effectively.
Duties and Responsibilities
* Manage expense claims for Senior Managers and Directors using the in-house processing system, ensuring compliance with our policy and meeting deadlines.
* Coordinate and respond to emails in the shared mailbox, supporting baseline security applications.
* Schedule and organize internal and external meetings, manage logistics, arrange travel bookings according to our policies, prepare itineraries, and track travel costs.
* Organize client events following our guidelines, manage catering and AV needs, coordinate group travel and accommodation, and secure venues using internal contacts.
* Conduct research, manage client database entries, provide technical coaching for new team members, process vendor payment requests, and engage in personal development while supporting team projects and tasks as needed.
Requirements
* Proficiency in MS Office applications, with some experience in delivering technical training or coaching preferred.
* Strong prioritization, organizational, and time management skills, along with well-developed problem-solving abilities and proficiency in database systems.
* Proven customer service focus, ability to work collaboratively in a team, and adapt to a rapidly changing environment.
