The Role
Having recently established a small office in Geraldton, you will be based here and supported by the Perth team with training and ongoing daily support. You may work autonomously, and at times the Perth crew will be in town sharing the office with you—particularly at the beginning. This is a fast-paced role for someone who wants to be part of a growing business and take their career to the next level.
You will be the central hub of our Geraldton operations—supporting crews, talking to clients, coordinating work, and keeping everything running smoothly. Reporting directly to our Managing Director, you will collaborate with teams across WA and be exposed to a variety of projects and workstreams. Full training in the role is provided to someone who meets the prerequisites. You will also be responsible for being the project administrator for our Geraldton fuel supplies business.
What You'll Be Doing
* General Administrative tasks to support the company across the state
* Managing bookings, schedules and workflow
* Being the first point of contact for customers' enquiries, quoting, relationship management and account building
* Updating social media and supporting marketing activities
* Preparing quotes and invoices
* Managing crew files, onboarding, inductions and compliance
* Tracking safety KPIs and supporting HSEQ initiatives
* Setting agendas, taking minutes and following up actions
* Coordinating procurement, freight and logistics with suppliers
* Formatting documents and assisting with technical admin
* Project administrator and lead customer liaison contact
* Running the day-to-day admin operations of the Geraldton office
* Face to Face contact with vessel customers on a daily basis
* Inventory control and ordering
* Assisting senior management with reporting and project coordination
* Supporting site teams and engaging directly with operations personnel
* Attending meetings with regulatory authorities
* Stepping into an Operations support role when required — site visits, toolbox meetings, client liaison

What We're Looking For
* Energetic, motivated and excited to be a part of the Base team
* Disciplined, proactive, highly organized with exceptional time management and the ability to multi-task and adapt to operational changes without losing focus
* Excellence in written and numerical documents such as quotes, proposals, emails, spreadsheets, etc.
* Confident working independently and as part of a team
* Strong and confident communicator who can engage with clients and suppliers at all levels
* Comfortable with Microsoft Office, Excel and Outlook with an intermediate Excel skill level as a minimum
* At least 2 years of admin experience
* Well-presented, reliable and adaptable to daily challenges
* Background in, or basic understanding of crane, marine or logistics industries
* Training is available for the right person – attitude is as important as experience
