National Administration Lead
We are looking for an experienced and skilled National Administration Lead to oversee the operational needs of our Service Branch managers.
* Manage workflow, contract compliance, invoicing, technician routing and efficiency, and customer satisfaction.
* Act as a backup resource to support branches when regional Admins are absent.
The successful candidate will have exceptional people skills, promote a positive team culture, identify opportunities to improve administration processes, and understand Key Business objectives.
A dotted line exists between the administration teams at a local level and the National Admin Lead.
Key Responsibilities
To be successful in this role you will:
1. Oversee the operational needs of the Service Branch managers, including the Service Manager and Sales leaders.
2. Work with the Planning Process Leader on maintenance of service contracts related to scheduling, service ticket creation, and invoicing.
3. Assist the Service Managers in ensuring the Service team meets Company expectations regarding daily documentation, allowing the administration team to correctly account for and promptly invoice work undertaken.
4. Ensure costs and expenses are managed efficiently and in line with Company expectations.
5. Recognize and promote continuous improvement in accordance with the Company's quality objectives and procedures.
6. Collaborate with Senior leadership to ensure smooth and profitable operation of the Service department.
7. Support and manage the teams to ensure compliance on preventative maintenance (nothing >30 days) and control aged WIP to assist the business with job closures.
8. Implement new systems to manage teams and technicians with the Strategic Process Leader.
9. Maintain high-level communication with internal and external stakeholders.
10. Ensure invoicing accuracy, meet invoice targets, complete daily invoicing, and forecast any potential threats to the business.
11. Address client queries, resolve issues/disputes from clients, and address changes in plans as required by the business.
12. Monitor reporting standards by checking Technicians' paperwork, performing random checks for client signatures, completion of jobs within a set timeframe.
13. Ensure timesheet timeliness and accuracy as part of this process.
14. Organize work in assigned territories to optimize productivity.
15. Check for aged debt and ensure scheduling aligns with Carrier payment terms.
16. Take on additional tasks as requested by Senior leadership.
