About Trade Business Accountants

We’re a specialist tax and bookkeeping firm that works exclusively with trade and construction businesses. And we’re looking for a rockstar Client Services Officer!

About The Position

This is a high-trust, high-impact role. As our lead CSO, you are the backbone of the firm’s client experience and internal flow. From the moment a new client signs up, your job is to guide them with confidence through onboarding, make sure nothing falls through the cracks, and help keep standards high across the firm. You’ll anticipate issues before they arise, build and maintain systems that scale, own outcomes – not just tasks, and protect both the client experience and the team’s capacity.

What You’ll Be Doing
* Calling new leads and capture key info

* Managing client onboarding and offboarding processes end-to-end

* Preparing and sending engagement letters + new client welcome packs

* Preparing and sending year-end tax / financial statement packs

* Sending bulk client communications when needed

* Managing our systems: SharePoint, XPM, NowInfinity, ATOmate, Asana, etc. (Naming conventions, folder structures, ongoing clean up. Adding new clients, updating details, new jobs, rolling jobs etc.)

* Sending Form 362s and adding clients to NowInfinity

* Supporting the tax team with scheduling jobs, information gathering, and admin tasks like trust minutes, FBT letters, etc.

* Keeping ASIC / ABR / ATO details and XPM client records accurate and up to date

* Tracking lodgements, tax payments, reminders, and payment plans

* Reviewing Asana/trackers and ensure the team are using them properly

* Setting up weekly and monthly trackers and reporting status to directors

* General admin support to directors

* Owning the ‘little things’ that matter most – like birthdays, gifts, hampers, experiences, merchandise, and culture building initiatives

The Ideal Applicant Has The Following
* 3 – 5+ years’ minimum experience in a CSO, operations, or practice management role within an Australian public practice firm

* Strong knowledge of ASIC, ABR and ATO processes

* Experience with Xero Practice Manager (XPM) and NowInfinity (highly regarded)

* Confidence using cloud tools such as Xero, Dext, Asana, SharePoint, Teams etc. – being tech savvy is a must in this role

* A genuine passion for delivering outstanding client service + experience

* Extremely high attention to detail. Please include the abbreviation ‘HATD’ at the bottom of your cover letter to prove this quality

* Proactive and positive personality – think ‘glass half full’

* Excellent written and verbal communication

* Can’t stand loose ends, messy systems, or poor follow-through

* Is naturally the person everyone relies on to make things happen

* Take pride in running a tight, well-oiled operation

* Can see what’s missing, broken, or inefficient and feel compelled to fix it

* Confident being client-facing via phone, email, and virtual meetings

* Self-motivated, disciplined, and can manage your own priorities / deadlines
