TheAdministrative Support to Operations will provide high-level administrative and operational support to ensure the smooth running of A2B Services Australia Facility Management, Contracting and Traffic Control divisions.
This role will work closely with the Operations Manager Managers and finance team to deliver productive, compliant, and professional support.
Key responsibilities include:
- Complete all administrative requirements for the Operations Team
- Champion our project management software administration to support Operations Managers and Finance.
- Accurately ensure completion of project- and site-specific inductions for our workforce and subcontractors using a variety of client induction portals.
- Ensure compliance by maintaining clear, accurate, and accessible records of all administrative documents and other relevant databases.
- Consistently update and maintain the company’sCRMto ensure accurate and current information is available for reporting, compliance, and operational efficiency.
- Onboarding of Subcontractors.
- Assist team in recruitment and onboarding of workforce, including the collection, verification, and storage of all personal details and compliance documents (valid tickets, identification, certificates, registrations).
Skills
- High level of computer literacy and IT skills a must.
- Book Keeping/invoicing experience.
- High level of organisation skills is a MUST.
- Ability to pick up new systems and champion processes
- Ability to multi task and critical skill thinking
- Experience using the Microsoft suite, Google Applications in a business setting.
- Work well both in a team environment and unsupervised.
- Communicate effectively with staff members.
- Time management and prioritise according to impact.
Education/Qualifications
- Certificate in Business Administration, similar experience or qualification is desirable.
Experience
- Experience in a similar position is highly desirable.
- Recruitment and workplace health and safety policies and procedures beneficial
- Fundamental and intermediate computer skills using programs including Microsoft office suite, online applications and induction portals.
