Two roles are located in their brand new purpose built clinic and head-office in East Melbourne and one is in their Caulfield Clinic. Be part of a collaborative, fully integrated team of fertility specialists, nurses, scientists and counsellors all working together to improve patient outcomes and care. The Role We have 3 x Full Time 12 month contract roles, supporting busy Fertility Specialist Doctors with day to day administration, secretarial support and client management. Based at reception when in the office, your varied day to day duties will include: Managing the Doctor's time through effective diary, appointment and inbox management Handling incoming calls, greeting guests, mail and correspondence Maintain the appointment management system including rescheduling, cancelations, follow ups etc Management of documentation and electronic records Maintain clear communication channels between all Melbourne IVF departments, Victorian day hospitals, Virtus Health, Fertility Specialists and key stakeholders Reconcile and account for the days takings Organise theatre bookings for patient procedures Typing correspondence, printing patient file notes etc Order supplies for Specialist Doctor' as required Keeping the waiting room in order, looking after stationary, deliveries etc. Skills and Experience This role will mostly be based on-site, however there is flexibility to WFH from time to time. You will thrive on a busy, patient focused role, with strong communication skills and exceptional organisational ability. You will have previous medical industry experience in a reception, administration or secretarial capacity.
