The Appointment Setter supports our Solar Concierge team by ensuring new leads are contacted quickly and consistently, and that qualified customers are booked in for consultations with our solar consultants (phone, Microsoft Teams meetings, and occasional site visits). Speed to lead and persistence with follow-up are critical to success in this role.
You will operate as an independent contractor, using your own equipment and workspace, and be paid based on results achieved rather than time worked.
You will work primarily inside HubSpot, managing incoming leads, allocating them to the concierge team, and driving contact and booking activity via phone, SMS, and email.
Key responsibilities
Lead handling & allocation
* Monitor for incoming solar leads and allocate them to the Solar Concierge team within HubSpot.
* Ensure leads are picked up quickly, with minimal delay between enquiry and first contact.
Customer contact & booking
* Call new leads promptly to introduce our Solar Concierge service and confirm key details.
* Follow up via SMS and email using HubSpot tools.
* Book appointments for our consultants:
* Phone consultations
* Microsoft Teams meetings
* Occasional on-site appointments (booked with the consultant, not attended by you)
* Confirm appointment time, expectations, and any pre-call requirements with the customer.
Follow-up & persistence
* Make multiple contact attempts across channels (phone, SMS, email) to reach uncontacted leads.
* Maintain clear notes in HubSpot so consultants have context before each appointment.
Systems & reporting
* Work in HubSpot to manage tasks, contact records, and appointment bookings.
* Keep lead status and appointment outcomes up to date.
* Flag recurring issues or trends in lead quality, contact rates, or no-shows.
Requirements
Essential
* Holds an active ABN and is willing to engage on an independent-contractor basis.
* Provides own laptop, reliable internet connection and suitable workspace.
* Comfortable making outbound calls and speaking with customers.
* Good spoken and written English with clear, confident communication.
* Computer literate and able to pick up new software quickly (HubSpot training will be provided; no prior HubSpot experience required).
* Strong attention to detail in updating records and booking appointments.
* Organised and reliable, able to work consistently across 5 days per week to meet agreed response-time expectations.
* Comfortable working on a commission-only structure initially
Desirable
* Experience in appointment setting, call centre, sales support or similar.
* Previous experience with any CRM, help desk, or ticketing systems.
Hours
* Approximately hours per week (flexible depending on your availability).
* Spread across 5 days to ensure coverage and fast response to leads.
* You manage your own hours within agreed coverage times to meet service-level expectations (e.g. speed to lead), noting work volumes may fluctuate.
Remuneration
Independent-contractor, commission-only structure (no base retainer):
* $10 (ex GST) per attended meeting that you book for a Solar Concierge consultant.
* $100 (ex GST) per successful sale where the customer you booked proceeds with a system through us.
The payment structure will be reviewed after the first month.
As an independent contractor you are responsible for your own tax, GST (if applicable), superannuation, leave and other personal insurance arrangements.
Engagement basis
* Engagement is on a non-exclusive basis.
* There is no guarantee of ongoing work; lead volumes and required hours may vary over time.
