About the Role An opportunity is available for an experienced Administration Officer to join a busy Planning and Environment Services team within a NSW Government emergency services agency. This role plays a key part in ensuring the smooth coordination of administrative, financial, and operational activities that support the team’s planning and assessment functions. Working closely with internal staff, government stakeholders, and community representatives, the position will act as a central coordination point for administrative support, documentation management, and financial processing. The role requires someone who thrives in a fast-paced environment, can manage multiple priorities, and brings strong organisational and communication skills. You will work alongside an experienced Administration Officer who will provide guidance and support, helping you quickly integrate into the team and contribute to day-to-day operations. Position: Administration Officer – $38-41/hour super Location: West Pennant Hills, NSW (Cumberland State Forest) Working Arrangement: Onsite with 1 day WFH (potentially 2 for the right candidate) Start Date: ASAP Duration: Until 30 June 2026 Working Hours: 35 hours per week Interview Process: One round (MS Teams or face-to-face) Key Responsibilities Provide administrative support across the team including document preparation, records management, filing, and database maintenance Coordinate meetings, workshops, and team events including agenda preparation, venue bookings, and minute taking Manage incoming enquiries and correspondence, delivering responsive and professional customer service to internal and external stakeholders Draft letters, reports, and internal communications while maintaining accurate documentation and records Maintain registers, spreadsheets, and data systems to support reporting and operational tracking Assist with financial and procurement processes including obtaining quotes, raising purchase orders, receipting goods, and processing invoices Monitor team budgets and prepare routine financial reports or expenditure summaries Support procurement and purchasing activities in accordance with organisational policies and government procurement frameworks Assist with maintaining office procedures, administrative workflows, and operational documentation to improve efficiency Liaise with internal teams, external agencies, and community stakeholders to coordinate information and support project activities Provide general office coordination including mail management, document distribution, and stock monitoring Contribute to continuous improvement initiatives to streamline administrative processes and service delivery About You Previous experience in an administrative support role within a fast-paced environment, ideally within government or public sector organisations Demonstrated ability to manage multiple competing priorities while maintaining attention to detail and meeting deadlines Experience with records management, document control, and administrative coordination Exposure to financial administration including purchase orders, invoice processing, or procurement support Strong customer service mindset with the ability to communicate professionally with a wide range of stakeholders High level of organisational skills with the ability to work independently and show initiative Proficiency in Microsoft Office applications including Outlook, Word, Excel, and Teams Experience with enterprise systems such as SAP, Coupa, HPE Content Manager (TRIM), or similar platforms is highly desirable A Certificate II or higher qualification in Administration or a related discipline, or equivalent practical experience Understanding or appreciation of community-based or volunteer-driven organisations is beneficial Strong planning and prioritisation skills with the ability to adapt to a dynamic and high-volume environment Must have full Australian working rights (citizenship, permanent residency, or long-term visa holders) As a mandatory requirement for this contract role required by our client, applicants are kindly asked to complete a compliance check and upload their work rights verification at www.charterdiligence.com.au/portal.
