Admin Manager

Location of role: Mackay
Business: Trade based Air Conditioning operations supporting Hamilton Island

We are seeking an experienced, friendly and motivated Admin Manager to join our office team, located in Mackay.

This is a full-time position that will require excellent attention to detail, a professional phone & email manner, great organisational skills and the ability to multitask. Duties will include liaising with staff, clients and suppliers, invoicing and general administration, along with overseeing other employees within the company.

This Administration role is based out of our Mackay office and supports a Hamilton Island trade based business. The role is hands on and varied, covering invoicing, quoting, phone calls, scheduling, ordering parts, stock and all round administration work.

Key responsibilities

• Answer and manage incoming phone calls with professional, friendly mannerisms
• Manage inboxes, respond to customer and supplier enquiries, and keep communication clear and consistent
• Prepare quotes and follow up to progress jobs
• Raise invoices and manage invoicing workflow end to end
• Schedule jobs and coordinate calendars with field staff
• Liaise with staff, clients and suppliers daily
• General office administration and support
• Oversee and support other employees within the company as required
• Maintain accurate records and documentation with extremely high attention to detail

About you

The ideal candidate will have a minimum 3 years experience in administration and be hard working, reliable and able to work individually or as part of the team. The candidate will also possess satisfactory computer skills, own transport, a positive attitude and willingness to learn.

You will also be:
• Professional and reliable
• Confident on the phone with strong communication skills
• Highly organised and able to juggle multiple priorities
• Detail focused, accurate, and consistent with follow through

Experience highly advantageous (but not essential)

• Trade based administration
• Invoicing
• Quoting
• Simpro software
• Microsoft Office (Word, Excel etc.)
