At Allied Therapeutic Services, we are looking for a warm, capable and proactive Senior Administrative Assistant to help keep our clinic running smoothly and support clients, families and clinicians every day.
This is more than a reception role. You will be the calm, organised and professional presence that helps clients feel supported, keeps clinician calendars moving, and ensures people across North Queensland can access the allied health services they need.

The Role
As our Senior Administrative Assistant, you will help lead the day-to-day flow of a busy allied health clinic.
You will be the first point of contact for clients, carers, referrers and visitors, while also supporting clinician calendars, referrals, service agreements, client records and clinic operations.
You will play an important role in helping clients access appointments as quickly as possible, supporting clinicians to do their best work, and ensuring client information is accurate, compliant and well managed.
As our clinic continues to grow, so does the need for strong, reliable administrative support behind the scenes. We are excited to welcome a third dynamic team member to complement our current team of two local administration staff and help support our growing client base and amasing clinical team.
What You'll Be Doing
In this role, you will:
* Provide a warm, professional and helpful first point of contact for clients, families, carers and visitors
* Manage phone, email and in-person enquiries with confidence and care
* Coordinate clinician calendars, cancellations and rescheduling to support strong clinic flow
* Help clients access appointments as quickly and efficiently as possible
* Manage referrals, intake information and client documentation
* Prepare and follow up service agreements with clients and families
* Maintain accurate client records and data in Splose
* Support EFTPOS, receipting and daily clinic administration processes
* Assist with room bookings, clinic resources, supplies and general operations
* Identify issues early and help solve problems before they escalate
* Support and mentor junior administration team members where required
About You
You are an experienced administration professional with at least 3 years' experience in a busy administrative environment, ideally within healthcare, allied health, NDIS, aged care or a similar client-focused setting.
You are organised, steady under pressure and confident communicating with a wide range of people. You understand that great administration is not just about completing tasks — it is about creating a positive, safe and reliable experience for clients and clinicians.

Essential Requirements
* Minimum 3 years' experience in administration
* Experience in healthcare, allied health, NDIS, aged care or a similar environment highly regarded
* Strong customer service and communication skills
* Confidence managing busy calendars, enquiries and documentation
* Strong attention to detail and computer literacy
* Ability to work calmly and professionally in a fast-paced clinic environment
* Current Blue Card and NDIS Worker Screening Clearance, or ability to obtain
Highly Regarded
* Experience using Splose or another client management system
* Understanding of NDIS or aged care funding pathways
* Certificate IV or higher in Business Administration, Practice Management or a related field
* Experience supporting or mentoring other administration staff
