About the Role
The Secretariat Support Officer is a key role within the Office of the CEO team who will be responsible for delivering high-quality confidential secretarial and administrative support.
This role works closely with the Corporate Secretariat and is responsible for establishing and maintaining strong relationships with internal and external stakeholders.
Responsibilities include:
* Providing high-level confidential secretarial and administrative support to the authority's Corporate Secretariat and working with the Executive Leadership team on protocols regarding the management, distribution and storage of all Board and committee papers.
* Assisting with the coordination and implementation of various projects, activities and tasks across the organisation.
* Establishing and maintaining strong working relationships with both internal and external stakeholders, including Board and committee members, internal departmental representatives and external partners.
* Coordinating meeting arrangements, recording and maintaining meeting minutes and agreed-upon actions and ensuring that all documentation is in line with Triple Zero Victoria's requirements and guidelines.
About You
To be successful in this role, you will be stakeholder-focused, highly organised and able to continually demonstrate discretion and sound judgement.
* You will have experience in secretariat and administration in a corporate or similar business environment dealing with highly sensitive and strictly confidential information.
* You will have excellent organisation skills, with the ability to effectively prioritise and manage multiple tasks simultaneously.
* You will have strong attention to detail with the ability to prepare high-quality accurate and detailed documents, reports, and correspondence.
* You will have strong interpersonal and communication skills with the ability to work autonomously, collaboratively and as part of a team.
* You will have confidence using a variety of technologies and systems, including Microsoft Office.
