Based in Sydney and reporting into the Head of Human Resources for Australia and New Zealand, this is an exciting opportunity to provide administrative support to the Head of HR, the APAC Head of Employee Relations and the local HR team, as well as manage a range of diverse location wide matters. This role is key in the daily operation of the HR team, owning key relationships locally and regionally. The successful applicant will possess a 'can do' attitude, high energy and demonstrate flexibility within a fast paced deadline driven organization.
The key areas of responsibility and ownership within this role include:
**General Administration**:
- Providing administrative support to the Head of HR and the APAC Head of Employee Relations including: diary management (including across time zones), dealing with multiple and urgent meeting conflicts, setting up of meetings and conference calls/zooms - internally and externally handling all logístical aspects associated. Organizing work related travel trips and assisting with schedules for visiting executives and HR events calendar for the location.
- Telephone coverage for Head of HR and the APAC Head of Employee Relations, ability to answer phones professionally, address issues or redirect as appropriate, distribute messages in a timely and appropriate manner.
- Preparation of location reports including for the Workplace Health and Safety (WHS) committee, location Operating Committee and Board.
- Creation of presentation materials (including PowerPoint and Excel documents) for various board and committee meetings including HR strategy updates, communication materials, etc.; ensuring quality and attention to detail.
- General office management - stationery, mail, couriers, etc.
- Co-ordination of HR team travel requirements.
- Expense administration including T&E and invoices for location HR.
- Partnering with other members of the HR team to participate in cross-location projects as required / identified e.g. HR intranet site contributions, L&D initiatives.
- Onboarding and off-boarding of HR staff including set up of new hires to the HR team - VDI and phone access, systems access and movement including first day induction and WHS overview; off-boarding of staff when leaving the firm/team.
- Management of HR inventory including laptops, monitors, telephones, etc.
- Resiliency and BCP administration including responsibility for call trees, HR contact information, etc.
- Identifying and recommending opportunities for HR process improvements.
- Ad-hoc duties arising on a day to day basis.
**Projects**
- Workplace Health and Safety (WHS) Committee Secretary
- Diversity Council Secretary
- Location New Hire Employee Induction - Host and coordinate induction sessions
- Other ad-hoc projects from time to time
**Qualifications / Experience**:
- A minimum of five years' experience in a similar role and environment
- An interest in the HR function and experiencing managing projects would be well regarded
- Strong Microsoft Office capability, especially Word, Excel and PowerPoint
- Strong organizational skills with the ability to work under pressure, juggle multiple time zones and to meet tight deadlines
- The ability to maintain confidentiality, discretion and professionalism at all times
- The ability to juggle multiple priorities and work well under pressure is essential
- High attention to detail and proven ability to achieve error free results in challenging situations
- Excellent interpersonal & communication skills both written and verbal
