Eden Ritchie is seeking an Executive Officer to provide high quality confidential administrative, secretarial and executive support to the senior management of the Finance, Procurement and Facilities Division. You will liaise with senior management, representatives of business units within the department and other government agencies to ensure the provision of high quality administrative support functions. The Executive Officer will support an Executive Director and their team within the Finance, Procurement and Facilities Division and reports to the Principal Advisor, Office of the Assistant Director-General, Finance, Procurement and Facilities Division. This position may also be required to work under the direction of other senior staff in periods of peak activity.

**As the Executive Officer, your key responsibilities will include**:
- Assist senior management in the development, implementation and evaluation of systems, processes, strategies, plans and reports
- Maintain effective time management practices for senior management; including coordinating diary appointments, prioritising correspondence and responding to outstanding queries and requests for information
- Develop, implement and review executive support systems and procedures within the team to ensure that they operate in accordance with departmental requirements and standards
- Maintain a high level of accuracy in all correspondence and administrative documents, using appropriate software programs and adhering to departmental standards
- Encourage an environment in which high quality services are delivered by continually seeking improvements in administrative systems and processes and by leading by example
- Monitor progress and report to senior management on various projects; undertake investigation, research and analysis of sensitive and confidential matters as requested
- Provide human resource functions to the team; including maintaining Establishment records and liaising with Strategic HR or recruitment agencies for the employment of staff
- Develop, implement and monitor the information management activities of the team; including web management activities
- Develop, coordinate, maintain and review administrative procedures and systems, resource maintenance and purchases, asset registers and address accommodation issues
- Assist with the planning of Divisional conferences and forums; including the activities related to professional development activities and induction programs
- Provide secretariat support as required
