Assets & Corporate Services Officer
All Lift Forklifts & Access Equipment is a growing Australian business operating across multiple states in the materials handling, access equipment and construction space. We are practical, hands-on, and serious about doing things properly. We are now looking for a highly organised, switched-on Assets & Corporate Services Coordinator to take ownership of our insurance, assets, credit cards and a range of finance and compliance administration.
This is a critical support role that sits across Finance and Operations. If you love registers, systems, processes, and keeping complex things under control, this role will suit you perfectly.
About the Role
You will be responsible for coordinating and managing several core business functions, including:
Insurance
* Coordinate all insurance claims from start to finish
* Liaise with insurers, brokers, managers and suppliers
* Maintain the insurance claims register
* Manage insurance renewals and insured asset schedules
Credit Cards
* Set up and issue company credit cards
* Reconcile all company credit cards monthly
* Monitor and follow up on spending and compliance
Finance and Leases
* Set up new financial leases in accounting and ERP systems
* Maintain the financial lease register
* Prepare documentation for audits
* Maintain Market Value and Written Down Value registers
* Provide admin support to the Head of Finance and Business Manager
Assets, Mobile Phones
* Order phones and accessories
* Create asset numbers and allocate phone numbers and SIMs
* Set up Apple and Google accounts and handsets for new users
* Maintain the phone and number asset register
* Manage Telco portals and accounts (Telstra, Jortel, etc.)
Assets, Vehicles, Trucks and Trailers
* Manage registration and insurance for all vehicles, trucks and trailers
* Create and maintain asset records for vehicles, depots, drivers and accessories
* Coordinate interstate registration changes
* Manage fuel cards and eTag accounts
* Monitor fuel and toll spend
* Manage Department of Transport accounts across states
* Assist HR with regular vehicle audits
Infringements
* Manage distribution and nomination of vehicle-related fines
* Maintain the infringement register
* Support HR with recurring offence reporting
About You
You will ideally have:
* Strong administration or coordination experience in a busy, multi-site business
* Excellent attention to detail and a love of systems, registers and accuracy
* Confidence dealing with insurers, suppliers, telcos and government portals
* Strong Excel and systems skills (ERP experience highly regarded)
* The ability to juggle multiple responsibilities without dropping the ball
* A proactive, no-nonsense, practical approach to getting things done
* High integrity and professionalism, as you will deal with sensitive information
