Are you an experienced administrative professional looking to make a meaningful impact in a dynamic and purpose-driven organisation? We are seeking a highly organised and proactive Business Support Specialist to join our Member Performance team. In this pivotal role, you will provide high-quality, efficient, and confidential administrative and organisational support to the Group Head of Member Performance and broader management teams. Your contribution will be essential to the smooth and effective operation of the department, helping us deliver on our commitment to members and stakeholders.

Accountabilities

The Business Support Specialist will be responsible for (but not limited to) the following:

* Assist the Group Head of Member Performance and relevant Heads Of and teams with a wide range of administrative work and provide general support duties of a highly responsible and confidential nature.
* Schedule appointments and coordinate diaries; manage room bookings and catering for meetings.
* Provide general administrative support across the relevant teams.
* Provide Group Executive support in the absence of the Executive Assistant.
* Draft, coordinate and prepare relevant committee papers and supporting documentation.
* Conduct general administrative duties including document preparation, presentations, meeting support, filing and archiving.
* Receive and screen telephone calls, mail and/or visitors for the Group Head and team.
* Arrange meetings, conferences, and travel.
* Manage expenses, invoice coding and assist with budget reconciliation.
* Prepare and distribute correspondence, meeting agendas/minutes and other documentation.
* Act as a contact point for other Heads Of and managers on administrative matters in the absence of the Group Head and Managers.
* Coordinate and support relevant committees and forums.
* Assist with planning and logistics for Member Performance team offsite meetings and functions.

Key Selection Criteria

* Previous experience in a similar administration support role is highly regarded.
* Outstanding verbal, written, and interpersonal skills with discretion and judgment.
* Proficient in MS Excel, Word, PowerPoint, Outlook, and Internet tools.
* Ability to adapt to new systems and evolving processes.
* Understanding of the Financial Services sector is advantageous.
* Proven ability to handle sensitive information confidentially.
* Self-motivated with strong attention to detail and ability to manage multiple priorities.
* Excellent understanding of administrative functions including diary, travel, and cost centre management.
* Demonstrated initiative in continuous improvement and new ways of working.
* Experience supporting multiple stakeholders at a high level.
* Effective liaison with personnel and stakeholders at all levels.
* Highly organised with the ability to manage competing demands and shifting priorities.
* Comfortable working in a membership-based organisation.
* Passionate about contributing to a positive and professional team culture.
* Willingness to champion and embody Cbus values and behaviours.
