About the role
Working 3-days per week, based in our Kwinana office, the Training Administration Assistant provides essential support to ensure accurate recordkeeping, smooth delivery of training activities, and consistent application of RTO documentation standards. This 5 month fixed-term position plays an important role in maintaining compliant training records, preparing materials, and supporting the day-to-day operations of the team.
You'll work closely with the RTO Coordinator, trainers, and site personnel to keep documentation organised, resources prepared, and administrative processes running efficiently.
Your day-to-day responsibilities will include:
* Managing training and assessment records, including scanning, naming, and electronic filing.
* Maintaining digital and hard-copy filing systems in SharePoint and PowerPro, including archiving completed or superseded documents.
* Providing general administrative support such as photocopying, printing, mail distribution, and monitoring stationery and training resource stock.
* Preparing learner packs, attendance sheets, and supporting training room setup as required.
* Formatting and updating Word and PowerPoint documents to align with current templates, branding, and document control standards.
Assisting the RTO Coordinator with minor document updates, conversions, and quality checks.
- Supporting the Training team with polite, professional communication and escalating issues where needed.
About you
* Completed Year 12 or equivalent.
* Basic computer literacy across Microsoft Word, Excel and Outlook.
* Strong attention to detail and ability to follow processes accurately.
* Reliable, organised, and able to manage routine tasks with consistency.
* Positive communicator with a proactive, team-focused attitude.
