About the Position
Administration Coordinator
The Administration Coordinator
is a dynamic, hands-on generalist role working closely with the General Manager to oversee the administration role in a timely, professional manner. This role plays a vital part in amplifying brand awareness and promoting flagship programs that create meaningful, real-world impact.
Driven by purpose, the Administration Coordinator actively supports the promotion of programs that mobilise skilled volunteers to improve health outcomes in developing countries, including the
Nurses in Action
and
Global Adventurers Programs
. You will be a key point of contact for the general public, responding to enquiries with professionalism, empathy, and a commitment to excellence in customer service.
Key responsibilities include (but are not limited to):
* Proactively supporting program promotion to grow volunteer participation and engagement
* Managing enquiries from prospective volunteers and stakeholders with a solutions-focused approach
* Supporting client and stakeholder relationships, including reporting requirements for corporate partners
* Coordinating day-to-day communications, preparing marketing collateral, correspondence, and participant materials
* Updating country manuals and pre-departure resources to ensure volunteers are informed and confident
* Maintaining and developing internal databases and reporting tools to track and evaluate program effectiveness
* Providing high-quality administrative support to the General Manager as required
* Managing incoming payments, maintaining accurate spreadsheets, issuing invoices, and providing payment updates
* Updating operations manuals in line with system changes and upgrades
* Coordinating international travel bookings for volunteer programs and liaising with in-country coordinators
* Undertaking occasional national and international travel as required
About you
As the successful candidate, you will bring enthusiasm, initiative, and a genuine desire to contribute to positive global change. You will have:
* Completion of Year 12, with ongoing studies highly regarded
* Advanced proficiency in Microsoft Office, Google Analytics, and social media platforms including Facebook, Instagram, and Twitter
* Strong interpersonal skills, enabling you to build and nurture relationships with corporate partners and volunteers
* High-quality writing and editing skills, with the ability to create clear, engaging content for targeted audiences
* Sound financial and administrative capability
* Proven initiative, strong time management, and excellent organisational skills
* A collaborative, can-do mindset, with the ability to work effectively both independently and within a small team
