Job Description
About the Role
We're seeking someone positive, driven, and motivated.
This is a high-profile role that requires you to effectively manage the flow of critical information and become an invaluable asset to our company.
Under the direction of the CEO, provide executive-level support and coordination for the CEO and the Executive team.
The Executive Assistant will perform a full range of secretarial and administrative support functions, including prompt, courteous and effective communication with internal and external stakeholders, to ensure the smooth and effective administration of the executive team.
This position is based in our Warrnambool head office and is for 4 days per week with the option of full time.
Responsibilities include:
Diary and Meeting Management
Manage Complex and Changing Diaries: Scheduling and negotiating appointments and meetings and organising associated and supporting documentation.
Coordinate Effective Meetings: Organising and collating meeting agendas, providing confidential minute taking and distribution, and coordinating follow-up actions.
This includes room bookings and equipment set up such as teleconferencing, data projectors, and refreshments.
Correspondence and Communication
Prepare Correspondence and Briefing Packs: Preparing reports and papers, drafting and editing correspondence, communication, presentations, and other documents.
Professional Communication and Liaison: Displaying effective communication and liaison skills with both internal and external stakeholders at all levels.
Report Writing
Drafting Reports: Writing detailed reports on various topics as required by the executive team.
Editing and Proofreading: Ensuring reports are free of errors and formatted correctly.
Presentation Preparation: Creating presentations based on report findings.
Documentation: Maintaining organized records of all reports and research materials.
Meeting Preparation and Support
Anticipate Needs for Meeting Papers: Preparing agendas and papers for regular Executive and Committee of Management meetings, acting as a secretariat for Committee of Management sub-committees, and providing additional support and coverage for the Company Secretary.
Research and Data Analysis
Research and Data Analysis: Researching, collating, and analysing data and other information to prepare reports and documents
Risk Report Functions
Data Entry: Assisting the risk team with entering data into risk management systems.
Meeting with internal stakeholders to identify potential risks.
Risk Assessment: Assisting in evaluating the likelihood and impact of identified risks.

Substantial experience supporting a CEO, Executive or Manager
Relevant Tertiary qualification (Business Management or similar)
A high degree of professionalism and judgement with the ability to maintain a high confidentiality
High-level written and oral communication skills (including the ability to write in a way that meets a wide variety of business communication needs) and the ability to communicate and liaise effectively and sensitively at all levels, both with internal and external stakeholders
Ability to balance conflicting priorities and work to deadlines
Sound analytical skills and an ability to work with discretion
Demonstrated initiative, flexibility and self-management skills and proven capacity to work across a varied team within a fluid and dynamic environment with limited supervision
Support productive relationships with a demonstrated ability to work as part of a team and independently and with people of all levels
High-level attention to detail, maintaining a flexible and resourceful approach to effectively multi-task and manage workload
Current Victorian Driver's license
