Practice Manager – Multi-Discipline Regional Law Firm

About the Firm
McIntosh McPhillamy is a well-established and respected regional NSW law firm with a proud history of serving our community for 150 years across a wide range of practice areas, including family law, commercial and property law, wills and estates, crime, employment law and personal injury litigation. Our team of 13 lawyers and 15 support staff work collaboratively to deliver practical, client-focused legal solutions with integrity and professionalism.
We are seeking a dynamic and experienced Practice Manager to oversee the day-to-day operations of the firm. This role is ideal for a proactive leader who enjoys working closely with Directors and staff to ensure operational efficiency, financial stability, and a positive workplace culture.
Key Responsibilities
Operational Management
* Manage the smooth operation of the firm's offices, including administrative processes, facilities, and supplier relationships.
* Develop and implement systems, policies, and procedures that support best practice, compliance, and efficiency.
* Conduct file reviews with lawyers to ensure client communication and engagement standards are upheld, liaise with lawyers to ensure billings / WIP / debtors are properly managed and budgets are met.
* Coordinate staff rosters, leave management, and workflow allocation to ensure service continuity.
Financial and Trust Management
* Liaising with our accounts manager to oversee trust and office accounting in accordance with Legal Profession Uniform Law requirements.
* Prepare budgets, financial reports, and performance summaries for the director's meeting.
* Monitor billing, cash flow, debtors, and expenditure, working closely with external accountants.
* Support directors with financial planning and business analysis.
Human Resources and Culture
* Lead recruitment, induction, and performance management processes.
* Foster a professional, supportive, and inclusive culture that values staff wellbeing and development.
* Oversee payroll, leave, and employment contracts.
* Coordinate professional development, continuing legal education (CLE), and compliance training.
* Support directors in maintaining high staff engagement and retention across the firm.
Technology and Systems
* Manage and optimise practice management, document, and accounting software (e.g. LEAP).
* Ensure IT systems and data security measures meet professional and legislative standards.
* Identify opportunities to improve workflows through technology and automation.
Compliance, Risk, and Governance
* Ensure compliance with all regulatory obligations, including trust accounting, privacy, WHS, and professional conduct requirements.
* Maintain internal policies for workplace health and safety, risk management, and client confidentiality.
* Support the Directorship with governance and reporting functions.
Strategic and Business Development
* Work with Directors to implement the firm's strategic and business plans.
* Contribute to marketing, client service, and community engagement initiatives.
* Provide operational insight and project management for firm-wide improvements and growth initiatives.
Key Skills and Experience
* Experience in law firm or professional services management (regional or mid-tier firm experience highly regarded).
* Strong understanding of trust accounting, legal practice management systems, and compliance requirements.
* Proven leadership and people management skills, with the ability to mentor and motivate teams.
* Excellent communication, organisational, and problem-solving abilities.
* Sound financial literacy and analytical capability.
* Relevant tertiary qualifications in business management, accounting, HR, or a related discipline (desirable).
