Executive Assistant / Administration Assistant – Real Estate

We are seeking a reliable and detail-oriented Executive Assistant / Administration Assistant to support our busy real estate office. This role is ideal for someone who enjoys structured administrative work, maintaining a high level of accuracy, and ensuring daily office operations run smoothly. This is a full-time role suited to someone who values structure, brings a friendly and professional approach to every interaction, and remains composed in a fast-paced environment.

Key Responsibilities:

* Managing a busy and ever-changing task list with efficiency and confidence
* Handling client communications professionally, ensuring timely and accurate follow-up
* Preparation and management of listing documents, contracts, and correspondence
* Maintaining accurate, well-organised files and compliance documentation

* General office administration and daily support

* Supporting sales agents and helping ensure critical deadlines are consistently met
* Handling incoming calls, emails, and client enquiries promptly and professionally
* Tracking key dates, appointments, and milestones so nothing is missed
* Scheduling appointments, inspections, and meetings
* CRM and database maintenance for clients and properties
* Administrative support for marketing activities (coordination)

About You:

* Strong attention to detail and accuracy
* Well-organised with excellent time management skills
* Professional communication and client service skills
* Ability to manage multiple tasks in a fast-paced environment
* Hard working, reliable, and committed to confidentiality
* Proficient in Microsoft Office, and real estate systems (preferred)
* Holds their Real Estate Licence or Certificate of Registration (preferred but not necessary)
