Institutional Banking and Markets (IB&M) manages relationships with major corporate and government clients and institutional investors. We provide capital raising, transactional and risk management products and services, playing a key role in reimaging banking and leading in Australia's transition.
Do work that matters
This exciting role offers the opportunity to provide high level administrative support to two Managing Directors (General Managers) and their teams within our Global Markets business. You will ensure their time is managed effectively by working in partnership with the leaders including pre-empting their needs, managing their demanding schedule, and acting as a key point of contact to ensure smooth day-to-day operations are met.
Your responsibilities will include but are not limited to:
* Diary & email management – Oversee a busy schedule, prioritising commitments, manage correspondence, filter requests and ensure seamless daily operations for the leaders
* Meeting management – Coordinating internal/external meetings with clients/stakeholders – including liaising with other EAs, arranging meeting room bookings, preparing agendas, reports, and presentation packs
* Stakeholder Management – Act as a trusted liaison between the external clients and internal contacts
* Event management – Arrange client events & ticketing/functions/offsites/team building events
* Travel coordination – Arrange detailed domestic and international travel itineraries
* Expense management – Accurately tracking, processing, and reporting expenses, ensuring financial compliance
* Establish and maintain strong, effective, strategic and appropriate working relationships within business partners, EAs and other stakeholders
* Risk management – Provide HR support and assist with recruitment requests, staff exits, onboarding / offboarding, and adhering to the Group's policies and procedures
* Provide ad hoc administrative support to the wider team
We're interested in hearing from people who have:
* Previous EA experience supporting multiple, similar level leaders of a similar size organisation
* A proactive working style with ability to pre-empt needs and take initiative to get things done
* Exceptional attention to detail and Superior skills in Microsoft Office suite
* A high level of discretion and confidentiality
* Ability to build relationships, is highly personable with excellent communication skills
* Ability to look ahead - think outside the box, manage workflow, priorities, work well under pressure and be flexible
* High level of pragmatic professionalism – face to face, over the phone and through correspondence
